Full Job Description

ARBA Retail Systems is a leading provider of point-of-sale software and technology solutions for hospitals and healthcare organizations across the United States. We are looking for an organized, detail-oriented Office Administrator to help keep our office running smoothly while supporting our accounting, administrative, and customer service functions.

Position Summary

The Office Administrator will play a key role in the daily operations of our office. This position is responsible for managing accounts payable and accounts receivable, preparing customer invoices, maintaining accurate financial records, assisting with administrative tasks, and providing excellent support to both customers and employees.

This role is ideal for someone who enjoys organization, takes initiative, and is comfortable wearing multiple hats in a growing company.

ResponsibilitiesAccounting & Finance

Prepare and send customer invoices.
Process accounts receivable and apply customer payments.
Manage accounts payable, including vendor invoices and payments.
Reconcile credit card transactions and bank statements.
Follow up on outstanding customer balances.
Assist with month-end financial reporting and record keeping.
Send out annual contracts to our clients

Office Administration

Answer incoming phone calls and direct them appropriately.
Welcome visitors and provide general office support.
Order and maintain office supplies.
Coordinate mail, shipping, and deliveries.
Schedule meetings and assist with calendar management.
Maintain organized electronic and paper filing systems.
Assist management with administrative projects as needed.

Customer & Vendor Support

Communicate professionally with customers regarding invoices and payments.
Coordinate with vendors regarding billing and orders.
Assist with processing customer contracts and documentation.
Support the sales and support teams with administrative tasks.

Qualifications

2+ years of office administration, bookkeeping, or accounting experience preferred.
Experience with accounts payable and accounts receivable.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
High attention to detail and accuracy.
Proficiency with Microsoft Office, especially Excel and Outlook.
Experience with QuickBooks or similar accounting software is a plus.
Ability to prioritize multiple tasks in a fast-paced environment.
Professional, dependable, and self-motivated.

Preferred Skills

Customer service experience.
Experience processing invoices and payments.
Basic understanding of accounting principles.
Ability to work independently while collaborating with a small team.
