Full Job Description

We are a holistic primary care practice looking for a polished, friendly, empathetic person to serve as the first point of contact for our practice. This role blends front-desk medical operations with sales and promotional responsibilities — ideal for someone who is professional, organized, creative and comfortable engaging with patients about their health concerns, services and products. Key Responsibilities

Maintain a clean, organized, and welcoming front office environment
Greet patients in-person and over the phone with a warm, professional demeanor
Handle incoming and outgoing calls with kindness, empathy and maintaining clinic standards
Schedule and coordinate patient appointments, manage the schedule, and handle rescheduling/cancellations according to practice protocols
Complete pre-visit planning to support the clinical visit: Verify patient information such as, but not limited to demographics, medical history and medications; complete intake process including verifying and entering patient data into EHR.
Dismiss patient at end of clinic visit “check out”, including completing the orders documented in the orders module, tasks, and patient plan, such as scheduling follow up appointments.
Process payments and reconcile daily transactions, call and follow up with patients who owe balances
Promote the practice, practitioners and services that drive patient referrals, retention and practice growth
Support marketing/promotional efforts (social media, in-office promotions, events) as needed
Learn about and recommend supplements to patients based on their care and needs
Maintain supplement inventory — sales, ordering, stocking, and tracking
Perform but not limited to assist clinicians in ordering labs, authorizations, X-Rays, hospital records and any previous care pertaining to each patient visit as assigned by providers
Offer & document patient education when asked
Prepare referral letters as directed by the provider, send and receive medical records
As assigned, accurately and thoroughly document in EHR all interactions with patients
Handle incoming and outgoing portal correspondence, faxes, email, mail, any other administrative correspondence
Learn and maintain any logs and documentation as assigned
Participate in orientation and training of new employees and attend mandatory meetings.
Work as a team member, interacting with staff, patients and providers to communicate and coordinate patient care and work flow efficiently and effectively.
Cross training in front office and administrative duties to learn full front office support.
Perform other duties as assigned

Qualifications

Strong interpersonal and communication skills
Polished, professional presentation both in-person and over the phone: responsible, ownership, integrity, conscientious, respectful
Inviting, open-minded and inclusive individual with prior experience in a medical, chiropractic, wellness, or retail front-office setting preferred
Ability to multitask in a fast-paced environment while maintaining friendly and professional demeanor
Highly organized with strong attention to detail
Proficient with scheduling software, office equipment (fax, phone systems), and basic computer skills, experience with AdvancedMD and Dialpad a plus
Sales experience or natural sales aptitude, especially in a consultative setting
Comfortable with basic inventory management and record-keeping
Pro-active and positive problem-solver who learns from mistakes to anticipate future problem-solving
Initiative in learning and sharing new skills
Bilingual preferred
