Remote | California trusts and estates experience required

About the Role

Legal Norcal P.C. is seeking an experienced Probate and Trust Administration Paralegal to join our growing trusts, estates, and business law firm.

This role is ideal for someone who is organized, detail-oriented, proactive, and experienced in California probate and trust administration matters. The right person will assist attorneys with probate, trust administration, estate administration, and related estate planning support while helping ensure client matters move forward with accuracy, professionalism, and care.

We are looking for someone who can communicate clearly with clients, attorneys, and third parties; track deadlines; prepare legal documents; and help “quarterback” files from start to finish.

This is a remote position, but candidates must have experience working with California probate, trust administration, and/or trusts and estates matters.

What You’ll Do

As a Probate and Trust Administration Paralegal, you will:

Assist attorneys with probate, trust administration, and estate administration matters, including preparing trustee notices, beneficiary communications, accountings, required filings, and related documents.
Draft and prepare court documents, including petitions, inventories and appraisals, notices, creditor claim documents, distributions, and other probate or trust administration filings.
Coordinate asset valuations, asset transfers, deed recordings, trust funding follow-up, and distributions for probate, trust administration, and estate administration matters.
Communicate clearly and collaboratively with clients, attorneys, legal assistants, court personnel, financial institutions, fiduciaries, beneficiaries, and other third parties, ensuring transparency and professionalism.
Track and meet deadlines for probate and trust administration filings, notices, court dates, client deliverables, and internal tasks.
Support attorneys in preparing for hearings, court appearances, client meetings, and other case-related proceedings.
Review client intake materials, asset information, estate planning documents, trust documents, death certificates, financial information, and other case materials for completeness and accuracy.
Help maintain organized digital files, accurate case notes, task lists, and matter status updates using firm systems.
Work with attorneys and legal assistants to keep matters moving forward, identify next steps, and follow up proactively on outstanding items.
Provide estate planning support as needed, including assisting with document preparation, signing packets, client binders, deeds, and related follow-up tasks.

What We’re Looking For

We’re seeking someone who:

Has 3+ years of experience in probate and trust administration, trusts and estates, estate administration, or a closely related California legal field.
Meets the requirements to work as a paralegal under California Business & Professions Code § 6450. Candidates must qualify through at least one of the following pathways:
Completion of an ABA-approved paralegal program;
Completion of a qualifying paralegal program or degree from an accredited postsecondary institution that includes at least 24 semester units, or equivalent, in law-related courses;
A bachelor’s or advanced degree in any subject, plus at least one year of law-related experience under the supervision of a qualifying attorney, with written confirmation that the candidate is qualified to perform paralegal tasks; or
A high school diploma or GED, plus qualifying law-related experience under the supervision of a qualifying attorney, with written confirmation that the candidate is qualified to perform paralegal tasks, if applicable under California law.
Has strong working knowledge of California probate and trust administration procedures.
Demonstrates knowledge and understanding of, or the ability to research, the California Probate Code, California Rules of Court, and California Code of Civil Procedure.
Can draft, review, and prepare probate, trust administration, and estate administration documents with accuracy and attention to detail.
Communicates clearly and collaboratively with clients, attorneys, fiduciaries, beneficiaries, court personnel, financial institutions, and other third parties.
Tracks and meets deadlines for probate and trust administration filings, notices, court dates, client deliverables, and internal tasks.
Is proficient with Microsoft Office Suite and Adobe, including PDF editing, OCR, and Bates stamping.
Has experience e-filing court documents.
Thrives in a remote team environment and demonstrates self-motivation, accountability, organization, and proactive follow-through.

Bilingual English/Spanish is a plus, but not required.
