Full Job Description

The Patient Advocate serves as the first point of contact for patients and is responsible for providing exceptional customer service while ensuring efficient front-office operations. This role includes patient registration, appointment scheduling, insurance verification, payment collection, account follow-up, and maintaining accurate patient records. The Patient Advocate promotes a positive, professional work environment while supporting the organization's commitment to outstanding patient care.

Essential Duties and Responsibilities

Welcome and assist patients in a courteous, friendly, and professional manner.
Register patients by obtaining accurate demographic and insurance information.
Scan and upload patient identification, insurance cards, and required documentation.
Ensure all registration forms and consents are completed accurately.
Collect patient copays, deductibles, coinsurance, and outstanding balances in accordance with office policies.
Reconcile daily payments and assist with daily financial balancing.
Schedule patient appointments according to established office procedures.
Run and review daily appointment schedules and reports.
Verify patient account balances and educate patients regarding outstanding balances.
Prepare patient charts prior to appointments and ensure completed charts are scanned accurately, including patient identification on all pages.
Maintain patient records in compliance with HIPAA regulations and confidentiality standards.
Maintain an organized and efficient front office, including monitoring office supply inventory.
Travel to satellite office locations as needed to provide coverage.
Participate in required staff meetings, training sessions, and continuing education.
Support physicians, clinical staff, and management with administrative tasks as needed.
Perform other duties as assigned.

Required QualificationsEducation

High school diploma or GED required.

Experience

Minimum of two (2) years of front desk or medical reception experience in a healthcare setting preferred.
Experience with electronic medical records (EMR/EHR) systems preferred.
Knowledge of medical insurance, copays, deductibles, and patient account management preferred.

Knowledge, Skills, and Abilities

Excellent customer service and communication skills.
Professional demeanor with the ability to handle sensitive situations compassionately.
Strong organizational and multitasking abilities.
Attention to detail and accuracy.
Working knowledge of HIPAA regulations.
Basic computer proficiency, including Microsoft Office and electronic medical record systems.
Ability to work independently and collaboratively in a fast-paced environment.
Ability to maintain confidentiality and professionalism at all times.

Work Environment

This position is performed in a medical office setting requiring frequent interaction with patients, physicians, and staff. The Patient Advocate is expected to maintain a positive attitude, demonstrate professionalism, and contribute to a collaborative team environment while delivering exceptional patient service.

Pay: From $22.00 per hour

Expected hours: 40 per week
