Founded in 1956, Laughlin Children’s Center is a highly respected nonprofit organization committed to supporting the educational, emotional, and developmental needs of children ages two to eighteen across Pennsylvania. Through a coordinated team of expert educators and clinicians, the Center empowers children to build confidence, address learning and emotional challenges, and reach their full potential. By offering early childhood education, clinical, and academic services under one roof, Laughlin fosters meaningful collaboration across disciplines, ensuring each child receives comprehensive, individualized care.

The Opportunity
Laughlin Children’s Center is seeking a full-time Administrative Coordinator to join the team. The Administrative Coordinator plays two critical roles: maintaining administrative systems and adding flexible capacity. As part of both the Finance & Administration team and Program Operations, the Administrative Coordinator will have the opportunity to participate in infrastructure and system design projects over the next several years.

The ideal candidate will relish managing a portfolio of diverse responsibilities, excel at time management and project communication, and be comfortable working with clients, families, vendors, executives, and peers.

Roles and Responsibilities
The Administrative Coordinator’s work falls into two categories – core responsibilities and cyclical/as-needed duties.

Core Responsibilities (70%):
These tasks are recurring, ongoing, and relatively predictable tasks. Once workflows are established, these tasks will be largely self-directed. Most, but not all, of these tasks are administrative in nature.

Manage keys and other physical access controls.
Support contracts workﬂow.
Maintain vendor compliance, tax-exemption, and project ﬁles.
Maintain inventory of office, facility, and janitorial supplies.
Coordinate with facility and administrative service providers.
Manage the mailroom, apply postage, process and route incoming mail.
Update eCommerce listings and maintain webstore.
Perform routine compliance and administrative tasks.
Maintain ﬁles in accordance with document retention policy

Cyclical and As-Needed Project and Program Support (30%):
These tasks support internal customers across the organization, and may ﬂuctuate throughout the year in duration, complexity, or urgency, or may be related to one-time projects. Examples include:

Document management
Meeting and event logistics
Filling in at front desk
Purchasing and managing supplies

Requirements and Qualiﬁcations

Experience concurrently managing both recurring/predictable tasks and ad-hoc responsibilities, including sharing project updates with stakeholders.
Thrives working with people, including children, families, coworkers, and vendors.
Clear verbal and visual communicator (including written communication).
Skilled time manager; ﬂexible, proactive, and detail oriented.
Project management experience (preferred).
Business or office administration experience (preferred).

Working Conditions

This hybrid position includes working on-site in-office and remotely, schedule to be agreed-upon with supervisor. Occasional nights, weekends, and/or travel may be required. The role includes stocking reams of paper, carrying boxes up to 40 pounds up and down stairs, and managing supplies on top shelves. Work location within the building will vary, including time at the front reception desk and in a shared office.
