Full Job Description

Key Responsibilities

A) Scheduling & Staff Coordination

Schedule and assign Home Health Aide (HHA) visits weekly through the agency's scheduling portal.
Coordinate caregiver schedules to ensure appropriate client coverage and address scheduling conflicts or last-minute changes.
Communicate schedules, updates, and shift changes with HHAs and office staff.
Monitor scheduling accuracy and maintain up-to-date staffing records.

B) Recruitment & Onboarding Support

Welcome prospective Home Health Aides and provide employment applications.
Assist applicants with completing onboarding paperwork and answer questions regarding the hiring process.
Collect, copy, and organize required employment documents, including identification, certifications, licenses, and other onboarding paperwork.
Ensure applicant files are complete and compliant with company and regulatory requirements.

C) Communication & Reception

Serve as the first point of contact by greeting visitors and providing excellent customer service.
Answer and direct incoming phone calls professionally.
Respond to emails and office correspondence in a timely manner.
Process incoming and outgoing mail and deliveries.

D) Office Administration

Maintain organized physical and electronic filing systems.
Prepare reports, correspondence, forms, and other administrative documents.
Order office supplies and coordinate equipment maintenance and vendor services.
Support daily office operations to maintain an organized and efficient workplace.

E) Administrative Support

Provide administrative support to management and office staff.
Assist with basic bookkeeping, expense tracking, and recordkeeping.
Maintain accurate client, employee, and scheduling records while ensuring confidentiality.
Perform additional administrative duties and special projects as assigned.

Qualifications

Experience in scheduling, staffing coordination, office administration, or healthcare administration preferred.
Experience scheduling Home Health Aides or caregivers is a plus.
Strong organizational and time management skills with the ability to manage multiple priorities.
Excellent communication and customer service skills.
Proficiency in Microsoft Office Suite and scheduling software or healthcare portals.
Ability to maintain confidential information and exercise sound judgment.
Strong attention to detail and the ability to work independently in a fast-paced office environment.
