Full Job Description

Seeking experienced in-house bookkeeper, business assistant, and HR assistant to work across 3 entities.

ABOUT US

Bellefleur Lingerie has been in business since 2002 as Seattle’s premier lingerie destination. We are independent, women-owned, and women-run, and we specialize in mid to high-end European, designer, and indie brands. We sell product through 3 channels: the physical brick-and-mortar boutique, our online store, and our membership club, selling to all 50 states, as well as many WA cities & tax jurisdictions outside of Seattle.
Lindsey Runyon Design is a boutique full-service interior design firm specializing in high-end residential interior design. We create customized interior spaces, and handle the full scope of projects both with remodeling and furnishings. We earn income through design fees for services, as well as from furniture product sales, and some subcontracted services. Projects take place in Seattle area, and sometimes other states.
Short Term Rental Property - Apt 314 is a short term rental unit in Seattle that has its own QBO account, and its own income and expenses.

This is a role to support all 3 entities, each with their own unique needs on the bookkeeping and administrative side. This is not just a data entry position, but an all around business assistant and bookkeeping role.

YOUR ROLE

This is an on-site role, where you will be physically present at Bellefleur Lingerie, most of your hours will occur before the shop opens.

For all entities:

Fully handle the bookkeeping for all 3 businesses, including handling anything that happens via QuickBooks Online
Reconcile monthly account statements
Manage state, county, city tax returns and filings
Manage all types of licenses and renewals
Facilitate and manage any review & action needed for all state, city, and county notices
Coordinate with CPA regarding yearly and quarterly taxes or other needs
Providing owner a list of all expenses for each business weekly, showing details about the expense, and prompting owner for review to note correct categories and appropriate billing to customer(s) if needed.
Calculating sales tax that was collected each week for transfer to dedicated tax account
Providing reports or other data as needed at owner's request
Manage basic HR and Payroll needs, using the payroll program Gusto and internal spreadsheets
Ensure businesses are in compliance with local, state, and federal laws when it comes to taxes, licensing, and HR matters
Communicate via e-mail and phone with owner during your scheduled hours
Other administrative tasks as needed

For Bellefleur

Managing cash in till
Reviewing all vendor invoices in detail, and working with Bellefleur staff to verify that invoices are correct and match up correctly with each item that arrived in the store.
Working with our Point of Sale system, Lightspeed Retail for detailed reporting, interfacing with QBO, and logging product shipping costs or other fees correctly
Working with vendors on billing and invoicing issues and questions that arise
All regular bookkeeping duties in QBO
Technical troubleshooting as needed of hardware/printer & computer on location
HR duties - Run payroll twice monthly for 4 employees, review employee timesheets, verify hours against schedule and time logs, verify commission payments are accurate. Manage accuracy of paid time off.
State Tax filings include coding for multiple cities within WA

For Lindsey Runyon Design

Create invoices at the direction of owner with amounts, description, and payment options as required, for owner to send to clients
Create internal invoices weekly to deduct product sales from client advance payments
Track each project and how much client has on their account
Run basic payroll twice monthly for 1 employee
All regular bookkeeping duties in QBO

For Short Term Rental Property

Tracking income and expenses and everything needed to maintain accurate QBO file.

ABOUT YOU

Exceptionally clear communicator
Ability to think ahead and anticipate problems before they arise
Understand how to work effectively with a creative CEO and entrepreneur
Reliable, consistent, and trustworthy
Discreet and understands privacy concerns
Extremely accurate and detail-oriented
Expert at Quickbooks Online and Gusto
Expert at Excel/Google Sheets
Understand sales tax for in/out of state sales
Basic understanding of local employment and HR laws
Have experience running bookkeeping for both interior designers and retail stores, preferably with apparel/fashion industry experience
Experience using Lightspeed Retail is beneficial

SCHEDULE

12 hours per week
8:30-11:30 am, Mondays through Thursdays
All work occurs on site, in the back office at the shop location in Fremont
You will be working independently for all but the last half-hour, when there might be some interaction with other employees needed

HIRING PROCESS & TRAINING

You will be trained by owner and by current bookkeeper via zoom and in-person.

COMPENSATION

$35 per hour
