Full Job Description

Job Summary
The Office Administrator serves as a key member of the administrative team and is responsible for coordinating office operations, Human Resources, bookkeeping, and administrative support to the Executive Director and Board of Directors. The ideal candidate is organized, dependable, maintains strict confidentiality, and can successfully manage multiple priorities in a fast-paced nonprofit environment.To bring candidates to the hire manangers. This position requires strong communication skills, a proactive approach to recruiting, and the ability to work collaboratively with hiring managers.

Responsibilities

Human Resources

Coordinate recruitment, interviewing, and onboarding of new employees with hiring manager
Prepare and maintain confidential personnel files.
Track employee licenses, certifications, trainings, and compliance requirements.
Assist with employee benefits administration.
Coordinate payroll preparation and timekeeping records.
Maintain confidentiality regarding employee information.
Assist with employee relations and HR documentation.

Bookkeeping

Maintain accurate financial records using QuickBooks or similar accounting software.
Process accounts payable and accounts receivable.
Prepare invoices and monitor collections.
Reconcile bank accounts and credit card statements.
Assist with budget tracking and financial reporting.
Coordinate with the organization's accountant during monthly and annual financial reviews.

Board of Directors Support

Coordinate Board of Directors meetings, including scheduling and meeting logistics.
Prepare and distribute board meeting packets, agendas, and supporting documents.
Record and maintain accurate board meeting minutes.
Maintain official corporate records and governance documents.
Assist with board member onboarding and orientation materials.
Track board terms, committee assignments, and required documentation.
Support compliance with nonprofit governance requirements.
Assist the Executive Director with board communications and follow-up on action items.

General Responsibilities

Maintain compliance with HIPAA and organizational confidentiality policies.
Assist with grant administration and document preparation as needed.
Support audits, accreditation reviews, and organizational reporting requirements.
Perform additional administrative duties as assigned.
Maintain office supplies, equipment, and vendor relationships.
Prepare reports, correspondence, meeting materials, and presentations.
Maintain organized electronic and paper filing systems.
Coordinate calendars, meetings, and office schedules.
Support organizational projects and special initiatives.Requirements
Proven experience in recruiting.
Strong communication skills, both verbal and written, to engage potential candidates.
Ability to work independently as well as part of a team in a fast-paced environment.
Experience in technical recruiting is preferred but not mandatory.
A proactive mindset with a passion for finding the right fit for both candidates and the organization.
