Company Overview

Brookhaven Treatment and Learning Center is a Residential Treatment Center dedicated to providing individualized educational, residential, and clinical services to youth ages 6-15 who have experienced abuse and neglect and present with significant emotional and behavioral challenges. Located on a spacious campus, the center offers a comprehensive therapeutic environment designed to promote safety, healing, and successful reintegration into the community.

Job Summary

The Operations & Administrative Coordinator is responsible for coordinating Brookhaven Treatment & Learning Center's day-to-day administrative operations. The position supports the administrative systems that enable Brookhaven's educational, residential, clinical, and business operations to function efficiently and effectively.

Working closely with the Executive Director and Leadership Team, the Coordinator ensures the efficient flow of information, documentation, and organizational processes while helping the organization maintain compliance with applicable policies, regulatory requirements, and administrative standards.

The Coordinator serves as the organizational hub for employment administration, admissions and referrals, educational support, compliance documentation, records management, front office operations, and general administrative services. The position is responsible for maintaining the administrative infrastructure that supports employees, students, families, and organizational operations.

As Brookhaven's primary administrative point of contact, the Coordinator frequently greets visitors, answers and directs incoming telephone calls, responds to general inquiries, and assists families, employees, vendors, contractors, Board members, community partners, and regulatory agencies. The position is expected to represent Brookhaven in a professional, courteous, responsive, and welcoming manner while ensuring inquiries are handled accurately and efficiently.

Success in this position requires exceptional organization, attention to detail, professionalism, sound judgment, strong interpersonal and customer service skills, and the ability to manage multiple priorities while maintaining strict confidentiality.

This position coordinates administrative processes but does not establish organizational policy, supervise employees, or provide operational leadership unless specifically assigned by the Executive Director.

Responsibilities

Manage employee onboarding, offboarding, personnel files, and employment documentation.
Coordinate employee benefits, training records, certifications, and other HR-related administrative tasks.
Maintain student records, enrollment documentation, and educational compliance files.
Support Independent School approval, licensing, accreditation, and regulatory compliance activities.
Organize confidential personnel, student, and organizational records.
Prepare reports, correspondence, forms, and other administrative documents.
Answer and direct phone calls, greet visitors, and provide professional front office support.
Coordinate admissions paperwork, referral documentation, and required signatures.
Schedule meetings, maintain organizational calendars, and track regulatory deadlines.
Manage office supplies, equipment, mail, deliveries, and vendor communications.
Assist with insurance documentation, contracts, and administrative agreements.
Maintain administrative databases, filing systems, and document retention processes.
Coordinate technology onboarding, software access, and administrative system records.
Support Board meetings, organizational initiatives, and internal communications.
Identify opportunities to improve administrative processes and operational efficiency.
Maintain strict confidentiality and comply with HIPAA, FERPA, cybersecurity, and Brookhaven policies.
Perform other administrative duties as assigned by the Executive Director.
Qualifications
related field, or equivalent combination of education and experience.
Three years of progressively responsible administrative experience.
Experience coordinating multiple administrative processes simultaneously.
Strong organizational and time management skills.
Excellent written and verbal communication skills.

Pay: $60,000.00 - $70,000.00 per year
