About the Practice
Kings Point Foot & Ankle Specialists is a growing multi-location podiatric and lower-extremity medical and surgical practice serving patients throughout Southern California.
Our practice includes foot and ankle surgery, sports medicine, regenerative medicine, PRP, advanced wound care, diabetic limb preservation, personal injury, workers’ compensation, and general podiatric care.
We are seeking an experienced, highly organized, and financially minded Senior Practice Administrator to work directly with the physician-owner and help scale the organization.
This is not a traditional office-manager position. The successful candidate will serve as a senior operational partner who can evaluate performance, improve systems, recruit physicians, oversee expansion, support marketing and business development, and reduce the administrative burden.
Position Overview
The Senior Practice Administrator will oversee the operational and growth-related functions of a rapidly expanding medical practice.
This individual must be equally comfortable reviewing financial reports, visiting clinics, meeting with referral partners, evaluating new markets, managing staff, recruiting providers, developing workflows, and communicating directly with the physician-owner.
The position is hybrid. Some strategic and analytical responsibilities may be completed remotely, but regular in-person clinic visits, leadership meetings, staff oversight, and travel throughout Southern California will be required.
The ideal candidate is proactive, accountable, data-driven, and capable of turning the owner’s vision into organized, measurable execution.
Key ResponsibilitiesPractice Operations
- Oversee day-to-day operations across multiple clinic locations.
- Conduct regular clinic visits to evaluate staffing, patient flow, productivity, scheduling, documentation, collections, and overall performance.
- Identify operational problems before they become major issues.
- Develop and implement standard operating procedures across all locations.
- Improve communication between physicians, clinical staff, administrative staff, billing teams, virtual assistants, and outside vendors.
- Establish clear accountability for managers, staff members, and outside service providers.
- Assist with hiring, onboarding, training, performance management, and termination when necessary.
- Ensure that new initiatives are implemented consistently and completed on schedule.
- Help reduce the physician-owner’s involvement in routine operational problems.
Financial and Performance Management
- Review practice revenue, expenses, collections, accounts receivable, payroll, staffing costs, and location-level profitability.
- Build and maintain Excel-based dashboards and management reports.
- Track key performance indicators, including:
- New patients
- Follow-up visits
- Procedures and surgeries
- Collections
- Accounts receivable
- Referral sources
- Provider productivity
- Marketing return on investment
- Scheduling utilization
- Cancellation and no-show rates
- Clinic profitability
- Lead conversion rates
- Work with billing, accounting, and leadership teams to identify revenue leakage and collection opportunities.
- Evaluate whether each clinic, provider, service line, and marketing campaign is financially worthwhile.
- Present the physician-owner with concise, actionable weekly and monthly reports.
- Translate financial information into clear operational recommendations.
Growth and Market Expansion
- Help evaluate and launch clinics in new cities and geographic markets.
- Develop market analyses for potential locations, including patient demand, referral opportunities, competition, staffing requirements, expected revenue, and operating costs.
- Determine whether a new city should be supported by a physician assistant, nurse practitioner, podiatrist, part-time provider, or full-time provider.
- Create financial projections and break-even analyses for new locations.
- Assist with site selection, staffing, vendor coordination, workflow implementation, and launch planning.
- Monitor new locations after opening and adjust strategy based on actual performance.
- Create repeatable systems that allow the practice to expand without sacrificing quality or profitability.
Physician and Provider Recruitment
- Identify the practice’s future provider needs based on patient demand, geography, referral volume, and current physician capacity.
- Recruit podiatrists, physician assistants, nurse practitioners, and other clinical professionals.
- Coordinate job postings, candidate screening, interviews, reference checks, compensation discussions, and onboarding.
- Evaluate provider productivity and determine whether additional providers are financially justified.
- Help develop compensation structures and productivity expectations in coordination with ownership and professional advisors.
- Build relationships with residency programs, professional organizations, recruiters, and potential candidates.
Marketing and Business Development
- Understand the practice’s different referral channels, including attorneys, case managers, physicians, medical groups, employers, patients, and community partners.
- Work with marketing vendors and internal team members to track leads and referral sources.
- Measure the return on investment of marketing campaigns and business-development activities.
- Maintain and improve CRM systems for lead tracking, referral relationships, follow-up tasks, and conversion reporting.
- Attend meetings with attorneys, referral partners, physicians, vendors, and other business relationships when appropriate.
- Conduct office visits and support relationship development throughout Southern California.
- Help grow the practice’s sports medicine, PRP, regenerative medicine, surgical, and out-of-network service lines.
- Assist with developing and launching out-of-network clinics and related patient-acquisition strategies.
- Evaluate which marketing activities are producing meaningful cases, procedures, surgeries, and collections.
- Ensure that referral leads are consistently followed, documented, and converted.
Systems, CRM, and Project Management
- Develop and manage workflows using Monday.com or a comparable CRM/project-management platform.
- Create systems for tracking:
- Referral leads
- Attorney relationships
- Provider recruitment
- Accounts receivable
- New clinic launches
- Marketing campaigns
- Staff assignments
- Credentialing
- Projects and deadlines
- Business-development follow-up
- Assign tasks, establish deadlines, monitor completion, and hold team members accountable.
- Improve the practice’s use of automation, reporting, templates, and standardized workflows.
- Coordinate multiple projects simultaneously without losing track of details.
- Maintain organized records of decisions, responsibilities, deadlines, and results.
Executive Partnership
- Communicate directly with the physician-owner on a daily basis.
- Provide a concise daily summary of important developments, decisions needed, risks, and completed tasks.
- Hold a structured weekly leadership meeting with the owner.
- Convert ideas and discussions into written action plans with owners, deadlines, and measurable outcomes.
- Protect the owner’s time by resolving operational issues independently whenever appropriate.
- Escalate important financial, legal, personnel, or patient-care concerns promptly.
- Help the owner move from managing daily problems to leading the overall vision and growth of the organization.
Hybrid and Remote Responsibilities
Responsibilities that may be completed remotely include:
- Financial reporting and dashboard preparation
- Reviewing accounts receivable and collections reports

- Meeting attorneys, physicians, case managers, vendors, and referral partners
- Evaluating potential new clinic locations
- Assisting with clinic launches
- Representing the practice at selected professional and community events
This role is expected to maintain a regular in-person presence and cannot be performed entirely remotely.
Required Qualifications
- Minimum of five years of medical-practice administration, healthcare operations, or multi-site healthcare-management experience.
- Prior experience working in a physician-owned medical practice.
- Demonstrated experience managing staff and improving operational performance.
- Strong understanding of medical-practice revenue cycles, billing, collections, and accounts receivable.
- Advanced proficiency in Microsoft Excel or Google Sheets.
- Experience creating budgets, forecasts, dashboards, and performance reports.
- Experience with CRM, project-management, or workflow systems such as Monday.com, Salesforce, HubSpot, Asana, or similar platforms.
- Experience tracking leads, referral sources, marketing performance, and business-development activity.
- Strong written and verbal communication skills.
- Ability to travel regularly throughout Southern California.
- Ability to work independently, prioritize effectively, and manage multiple projects.
- Ability to communicate directly and candidly with the physician-owner.
- High degree of discretion when handling confidential business, employee, patient, and financial information.
Preferred Qualifications
- MBA, MHA, MPH, or comparable graduate degree.
- Experience managing a multi-location medical group.
- Experience with podiatry, orthopedics, pain management, surgery, sports medicine, personal injury, workers’ compensation, or regenerative medicine.
- Experience opening or expanding medical offices.
- Experience recruiting physicians and advanced-practice providers.
- Experience evaluating provider compensation and productivity.
- Experience with out-of-network medical practices.
- Experience working with attorneys, case managers, and physician referral networks.
- Experience overseeing marketing vendors and analyzing return on investment.
- Familiarity with credentialing, contracting, compliance, and healthcare human resources.

Compensation and Benefits
- Base salary: $110,000–$140,000 annually, depending on experience and qualifications.
