Full Job Description

Bookkeeper / Office Manager

Location: Boulder, CO (In-Office) Schedule: Full-Time, 30 Hours+ per Week Reports To: Fractional CFO

About Us

We are a small, dynamic company of 15 employees in the biotech/technology space. Our team moves fast, and we're looking for a detail-oriented financial professional who thrives in a collaborative environment and can wear multiple hats. You'll work closely with our Fractional CFO to keep our financial operations running smoothly while also supporting the day-to-day needs of the office.

Position Overview

We are seeking an experienced Bookkeeper with light office management responsibilities to join our team. This is a hands-on role that requires strong knowledge of core accounting functions, comfort with QuickBooks, and the ability to keep a small office organized and running efficiently.

Key Responsibilities: Bookkeeping & Accounting

- Manage full-cycle Accounts Payable (AP) — process invoices, schedule payments, and maintain vendor relationships

- Manage Accounts Receivable (AR) — generate invoices, track collections, and follow up on outstanding balances

- Maintain the General Ledger (GL) — record journal entries, perform reconciliations, and ensure accurate books

- Process bi-weekly payroll accurately and on time; maintain payroll records and ensure compliance

- Prepare monthly, quarterly, and annual financial reports for the Fractional CFO

- Assist with budget tracking, expense reporting, and cash flow monitoring

- Support year-end close and coordinate with external accountants/auditors as needed

- Maintain organized and audit-ready financial records

Office Management

- Serve as the primary point of contact for office vendors, facilities, and supplies

- Manage office inventory and coordinate ordering of supplies and equipment

- Support onboarding logistics for new employees (desk setup, equipment, access)

- Handle incoming mail, correspondence, and general administrative tasks

- Help coordinate company meetings, events, and team communications as needed

- Assist leadership with ad hoc administrative projects

Qualifications

Required:

- Minimum 5 years of bookkeeping experience covering AP, AR, GL, and payroll

- Proficiency in QuickBooks (Desktop and/or Online)

- Strong understanding of general accounting principles and practices

- Experience supporting or working alongside senior financial leadership

- Proven ability to handle confidential financial information with discretion

- High attention to detail and strong organizational skills

- Comfortable working independently in a small-company environment

- Excellent communication skills — written and verbal

Preferred:

- Experience in a biotech, life sciences, or technology company

- Familiarity with startup or high-growth company environments

- Experience with payroll platforms (e.g., Gusto, ADP, Rippling)

- Exposure to financial reporting, budgeting, or FP&A support

Compensation

- Hourly Rate: $32–$38/hr, commensurate with experience

- Schedule: 30 hours per week, Monday–Friday (flexible start/end times)

- Pro-rated benefits may be available depending on hours and company policy
