GENERAL STATEMENT OF DUTIES

Performs complex secretarial and responsible administrative work for the Western Virginia
Regional Jail Authority and Senior Administrative Staff. Performs special assignments and related work as required.

ESSENTIAL JOB FUNCTIONS

The major responsibility of the Administrative Assistant and Clerk to the Board is to ensure that the
Office of the Western Virginia Regional Jail operates efficiently by performing high level public relations and administrative support. The Administrative Assistant and Clerk to the Board must create a business-like environment exercising tact and diplomacy when dealing with the public, as well as confidence and maturity when dealing with diverse and complicated issues. The
Administrative Assistant and Clerk to the Board must maintain an interactive relationship with the
Western Virginia Regional Jail Authority Superintendent and Senior Administrative Staff and anticipate and/or respond to administrative activities by attending to details and closure of tasks and projects. Confidentiality must be maintained at all times. Work is performed under the general supervision of the Western Virginia Regional Jail Authority Superintendent.

Receives telephone inquiries and complaints from the public; ascertains nature of business; provides information to inquiries or directs callers to appropriate persons or offices.
Researches and compiles information from a variety of sources for the Western Virginia

Regional Jail Authority Superintendent. Collects data needed by Western Virginia RegionalJail Authority Superintendent to respond to inquiries/complaints, and drafts replies. Composes correspondence appropriate to the need, creates informational, data base, research and other types of reports for the Western Virginia Regional Jail Authority

Superintendent.

Assists in the preparation of material for submission to the Western Virginia Regional Jail

Authority Board and writes Board reports.

Oversees distribution and disposition of notices, memorandums, directives and related material.
Serves as the Clerk of the Western Virginia Regional Jail Authority Board; Attends meetings, takes notes, transcribes and distributes information to Authority members.
Assists in the preparation of an annual budget for the Western Virginia Regional Jail; receives and processes payment of charges against Western Virginia Regional Jail budget.
Schedules appointments and makes reservations when requested.
Maintains an accurate system of files; Prepares documents for destruction or archive as directed by retention guidelines.
Maintains inventory of office supplies and equipment; prepares purchase requisitions; Orders supplies when needed, does purchase orders and other budget transactions.
Operates a variety of office equipment, including transcription equipment, word processor, computer, and other information processing equipment.

Provides clerical support to other divisions within the jail as directed by the Superintendent..
Participates in recruitment and community relations activities as directed.
Performs other duties as required by the Superintendent.

POSITION REQUIREMENTS/PREFERENCES

Education Required: Education equivalent to graduation from high school, supplemented by business school or college level courses in Business
Administration, Office Management or related field or considerable experience in progressively responsible office support work.

Preferred: An Associate’s Degree in Business Administration, Office
Management or related field.

Experience Required: Extensive and progressive experience in office management and administrative support.

Certifications/ Required: Valid Virginia driver’s license with good driving record.
Licenses

Knowledge, Skills demonstrate competency to establish and maintain effective working and Abilities relationships with other employees, employees of other localities and agencies, dignitaries and the public;

comprehensive knowledge of office terminology and procedures;
comprehensive knowledge of secretarial techniques;
demonstrate ability to produce word-processing documents, reports and desk top publishing in a timely and accurate manner;
comprehensive knowledge of business math, finance, spelling and

English grammar;

ability to write clearly, concisely, and effectively;
ability to follow complex oral and written policies, procedures, and laws;
ability to take initiative, exercise independent judgment, and prioritize assignments;
ability to accomplish assigned tasks with a minimum of supervision;
ability to perform administrative duties and to direct the activities of other employees;
ability to maintain the confidentiality of information handled within the office

Additional Must be a citizen of the United States and be twenty-one (21) years of
Requirements age. Subject to a complete criminal history background search with acceptable results. Must be able to respond to the jail within one hour and a half from primary residence.
