Full Job Description

General Summary:

A medical office manager is responsible for the non-clinical aspects of the day-to-day operations in a medical office environment within the surgical center healthcare facility.

Physical and Mental Effort:

Physical demands may include long hours standing or walking, lifting, bending, and carrying heavy equipment, and performing repetitive tasks that require manual dexterity. The role may also involve bending or stretching. Mentally may include a high level of attention to detail, making quick decisions to address issues with equipment or processes, and multitask effectively in a fast-paced environment. Problem-solving skills are essential to troubleshoot sterilization issues, and the ability to manage stress is important to maintain safety standards and efficiency under pressure.

Environmental and Working Conditions:

Fast paced work environment based on elective and acute/urgent situations requiring surgical intervention. Probability of overtime.

Job Qualifications:

Education: High School Graduate or Equivalent. Understanding of Medical Terminology.

Certifications: Basic Cardiac Life Support (Preferred)

Skills: Demonstrates comprehensive expertise in medical billing, including Medicare, Medicaid, and commercial insurance regulations, as well as a strong foundation in HIPAA compliance and labor law. Brings solid experience in human resources functions such as hiring, supervision, and performance evaluations. Skilled in policy and procedure development, healthcare software, and medical supply and equipment management. Offers exceptional multitasking, problem-solving, and customer service abilities, alongside professional communication skills across various formats and audiences. Knowledgeable in continuous process improvement, with the ability to collaborate effectively with a wide range of stakeholders across clinical, administrative, and public sectors.

Typical Duties and Responsibilities:

· Manage front desk operations, including patient scheduling, registration, insurance verification, financial counseling, and medical records management.

· Oversee billing and collections processes, including coding accuracy, data entry, claim submission, and cash posting, ensuring compliance with Medicare, Medicaid, and commercial payer policies.

· Coordinate day-to-day administrative operations to ensure efficient, patient-centered service delivery.

· Develop, implement, and enforce office policies and procedures to support regulatory compliance and operational effectiveness.

· Promote a culture of excellent customer service across all staff, addressing patient concerns and resolving service issues promptly.

· Hire, train, manage, and evaluate front office and administrative personnel; conduct regular performance reviews and staff development initiatives.

· Maintain organized filing systems (physical and electronic) in compliance with HIPAA and Michigan medical record retention requirements.

· Ensure compliance with all applicable regulations, including HIPAA, OSHA, Michigan labor laws, and standards from accrediting bodies such as AAAHC or The Joint Commission, as applicable.

· Manage inventory of office and clinical supplies, coordinating with vendors to maintain appropriate stock levels.

· Schedule and facilitate regular staff meetings, ensuring communication of updates, policy changes, and performance feedback.

· Coordinate logistics for internal meetings, clinical team huddles, and external events or audits.

· Maintain optimal front desk coverage, adjusting schedules as needed to meet daily patient volume and operational demands.

· Support recruitment and onboarding of clinical and administrative staff, in collaboration with leadership and human resources.

· Participate in quality improvement initiatives and assist with special projects, audits, or regulatory surveys.

· Serve as a liaison between administrative staff, clinical teams, and patients, ensuring a seamless front-office experience.

· Perform other duties as assigned to support the facility’s mission and strategic goals.
