Job Description: Admissions Manager – Substance Use Treatment

About Us

NorthStar Regional is a leading provider of comprehensive substance use and behavioral health treatment. We are dedicated to providing life-saving, compassionate care and guiding individuals and their families through the early stages of recovery. We are seeking an empathetic, data-driven Admissions Manager to lead our high-impact call center team.

Position Summary

The Admissions Manager oversees day-to-day call center operations, manages a team of Admissions Coordinators, and ensures a seamless, supportive, and efficient Admission process. This position balances compliance, verification of benefits (VOB), and crisis management with rigorous performance metrics such as conversion rates, call abandonment, and speed-to-answer.

Key Responsibilities

Team Leadership: Hire, train, mentor, and supervise a team of Admissions Coordinators, fostering a culture of empathy, accountability, and excellence.
Performance Management: Track and analyze daily, weekly, and monthly call center KPIs, including conversion rates, average handle time (AHT), first-call resolution, and queue abandonment.
Crisis and Escalation Support: Coach team members on handling highly distressed callers, including prospective clients and families, and step in to de-escalate or oversee complex admissions scenarios.
Compliance and Coordination: Ensure all admissions workflows comply with HIPAA, applicable state healthcare regulations, and ASAM criteria while coordinating seamlessly with clinical and billing departments.
Insurance Verification and Pipeline Oversight: Oversee the accurate completion of insurance verification of benefits (VOB) and pre-admission assessments to minimize financial barriers and expedite placement.
Process Optimization: Continuously refine call scripts, CRM pipelines, and routing rules across NorthStar Regional’s EMR, CRM, phone systems, and other admissions-related platforms to improve workflow efficiency and maximize conversion.

Qualifications

Experience: Minimum of three years of experience managing a healthcare, behavioral health, crisis call center, or admissions team.
Industry Knowledge: Strong working knowledge of substance use disorder treatment, levels of care, health insurance terminology, and behavioral health compliance.
Technical Skills: Proficiency with modern CRM and EMR systems, multiline phone queues, and workforce-management metrics.
Interpersonal Skills: Exceptional emotional intelligence and crisis-intervention skills, with the ability to maintain composure in high-stress, fast-paced environments.
Education: Bachelor’s degree in Healthcare Administration, Business, Psychology, Social Work, or a related field, or equivalent professional experience.

Pay: $60,000.00 - $70,000.00 per year
