Job Summary
We are seeking a Full-Time Administrative Assistant for a busy property management office.

Job Summary:

The Administrative Assistant provides organizational and administrative support for the Operations Staff as it relates to the promotion of properties, connecting properties with potential tenants, and directing inquirers to the appropriate individual. As an Administrative Assistant, the primary responsibility is to be a welcoming face for all incoming guests and phone inquiries.

● Establishing a positive first impression, with a strong customer focus on service, and a hospitality mindset with a positive attitude

● Coordinate the overall organization, cleanliness, and operation of the front desk and reception area

● Opening and closing procedures

● Direct all incoming calls and/or walk ins to the appropriate team member, department, or company

● Communications via phone (voice mail), email, text, AppFolio, and Social Media, and in-person

● Meeting and Greeting Tenants/Clients and assisting as needed

● Assist with the tenant application process including guest cards, inquiries, waitlist, screening, and verifications

● Updating all spreadsheets with accurate communications

● Assist in the pre-leasing process for all tenants and prospective tenants

● Assist with marketing to prospective, current, and future tenants including social media platforms

● Assist with tenant move in and out communications and key return

● Receive rental payments with accurate record-keeping

● Update the window flyers on a regular basis for available listings and leases

● Assist with marketing to prospective owners

● File Audit and compliance for Tenants and Leases

● Complete prospective buyer/seller intake forms

● Receive funds and documents for real estate transactions (e.g due diligence, earnest money, commissions)

● Knowledge of calendars for both employees and agents on duty

● Working knowledge of real estate transactions

● Constantly strive for improvements in the work process

● Internal communication between leasing, maintenance, and accounting departments

● Communicating in the group chat for any and all updates

● Cross-training amongst multiple departments and sister companies

● Key maintenance and organization at front desk

● Working together with the team in a cohesive way

● Exceeding Service Expectations with Tenants, Owners, and Vendors

● Phones, Copier (Copy, Print, Scan), Computer Skills, DocuSign, Appfolio, & G-Suite

● File Systems and Organization

● Maintaining an active Drivers License

● Action Plans: specific action plans to be incorporated.
