Full Job Description

Compensation & Benefits

Base Salary: $55,000 annually
Health Insurance Stipend: $200 per month
Monthly Performance Bonus: $200 for each month in which Clinic Schedule Efficiency reaches or exceeds 85%, based on HHPC's monthly productivity and scheduling dashboard.
Paid Time Off: 10 days of PTO during the first year of employment, increasing by two (2) additional days each year, up to a maximum of 20 days annually.
Paid Holidays: 9 Paid holidays in accordance with the company’s policy.
Performance Bonus: Eligible for an annual discretionary performance-based bonus determined by leadership based on achievement of organizational and individual goals.

Position Summary

Healthy Home Primary Care is seeking an organized, and hands-on Office Manager to oversee the day-to-day operations of our primary care practice. The Office Manager will be responsible for ensuring the clinic operates efficiently, staff are supported and accountable, providers have the resources they need, and patients receive an exceptional experience.

This is a hands-on management position. The Office Manager is expected to lead the team while also being willing to step in and assist with front-office and clinical-support workflows when necessary to maintain smooth clinic operations.

Key Responsibilities

Daily Clinic Operations

Oversee day-to-day clinic operations and ensure the office opens and operates on schedule.
Monitor patient flow from check-in through checkout and address operational bottlenecks.
Coordinate provider schedules, staff coverage and room utilization.
Ensure appropriate staffing based on provider and patient schedules.
Maintain an organized, professional and patient-focused office environment.
Step in to support check-in, checkout, phones, patient rooming, and other clinic functions when needed for coverage.
Ensure providers have appropriate staff and operational support throughout the day.

Staff Management & Training

Provide daily supervision and direction to front-office and clinical support staff.
Coordinate employee schedules, PTO requests and coverage.
Train and onboard new staff.
Conduct ongoing staff training and reinforce established workflows.
Address routine employee concerns and escalate significant performance or HR matters to the leadership.

Patient Experience

Reinforce HHPC's philosophy of spending meaningful time with patients and helping patients navigate the healthcare system.
Ensure patient complaints are addressed promptly and professionally.

Scheduling & Clinic Efficiency

Monitor provider schedules and identify unused capacity.
Work with staff to improve scheduling efficiency and reduce avoidable gaps.
Work toward maintaining monthly Clinic Schedule Efficiency of 85% or greater.

Athena & Office Workflows

Develop strong working knowledge of Athena and HHPC's established workflows.
Assist staff with routine Athena questions and operational issues.
Ensure staff follow established scheduling, registration and documentation workflows.

Compliance & Administrative Responsibilities

Maintain and complete the practice's established compliance checklist.
Ensure required office postings, logs, documentation and recurring compliance tasks remain current.
Coordinate required staff training and maintain completion records.
Assist with maintaining office policies, procedures and SOPs.

Supplies & Facility Operations

Maintain appropriate medical and office supply inventory.
Coordinate ordering and restocking.
Monitor equipment and facility needs.
Ensure the office remains clean, safe and operationally ready.

Communication & Meetings

Conduct staff huddles and operational meetings as appropriate.
Communicate workflow changes and leadership direction to staff.
Provide updates on unresolved or recurring operational problems.

Qualifications

Prior experience in a medical office, physician practice, or outpatient healthcare setting required.
Previous supervisory, lead, office management, or practice management experience strongly preferred.
Primary care and Athenahealth experience preferred.
Strong understanding of medical office workflows, patient scheduling, insurance and healthcare terminology.
Strong leadership, communication and problem-solving skills.
Ability and willingness to work hands-on alongside staff when operational needs require it.
