About Aegis Administration

Aegis Administration is a national service contract administrator supporting vehicle service contracts, home service contracts, and ancillary protection products. We handle the operations behind the coverage, including claims support, partner programs, and the day-to-day work that keeps our partners and customers taken care of.

We're a growing, fast-moving team that values accountability, teamwork, and people who take ownership of their work.

The Role

We're looking for an Office Administrator to help keep our office and our team running smoothly.

This is a hands-on role with plenty of variety. One hour you may be entering data and updating records, the next you're coordinating travel, helping a partner on the phone, preparing a shipment, or making sure the office is organized and ready for the day.

This is a great opportunity for someone who is organized, dependable, willing to learn, and genuinely takes pride in keeping things running well.

What You'll Do

Enter, update, and maintain accurate records in our internal systems
Make and receive calls with partners, service providers, and vendors
Answer questions, follow up on open items, and route requests to the appropriate department
Prepare outgoing mail, packages, and shipments
Sort and distribute incoming mail
Coordinate travel arrangements including flights, hotels, ground transportation, and itineraries
Assist with scheduling, calendar coordination, and meeting preparation
Scan, file, and organize documents and records
Assist with expense reports, invoice routing, and general administrative paperwork
Keep office supplies stocked and organized
Help maintain clean, organized, and presentable common areas and shared spaces
Support special projects and provide backup assistance to other departments as needed
Jump in and help wherever the day requires

What We're Looking For

High school diploma or equivalent
Strong attention to detail
Good organizational and time-management skills
Comfort working with data entry and maintaining accurate records
Clear, professional phone and email communication
Working knowledge of Microsoft Outlook, Word, and Excel
Ability to manage multiple priorities without losing track of the details
Dependable attendance and punctuality
Ability to handle confidential and sensitive information appropriately
A team-first attitude and willingness to pitch in wherever needed

Nice to Have, But Not Required

Previous office, administrative, or reception experience
Experience coordinating travel or calendars
Experience in service contracts, warranty, automotive, home services, or insurance
