Full Job Description

Job Summary

We are seeking a versatile and detail-oriented Account & Office Manager to support our California locations. This hybrid role combines client-facing account management with the administrative backbone of office operations. The ideal candidate is highly organized, thrives in a fast-paced entertainment environment, and can seamlessly shift between managing client relationships, coordinating production logistics, handling insurance documentation, and supporting day-to-day office functions.

Key ResponsibilitiesClient & Account Management

Serve as the primary point of contact for client inquiries via phone and email.
Build and maintain strong client relationships to ensure satisfaction and repeat business.
Coordinate with clients to understand lighting design requirements, equipment needs, and budget constraints.
Utilize Flex to create accurate and timely quotes for clients.
Collaborate with Asset Management and other locations to confirm equipment availability for specified dates.
Initiate and manage sub-rental orders to fulfill client demands.
Coordinate change orders and last-minute updates with the Operations and Transportation teams.
Act as liaison between Operations and clients in cases of missing gear, delayed delivery, or last-minute event requests.

Production & Logistics Coordination

Coordinate client production and labor requirements from booking through event completion.
Generate purchase orders for sub-rentals, labor, and intercompany transfer orders.
Coordinate equipment delivery schedules with the Transportation Manager.
Ensure timely and efficient delivery to meet client expectations and event deadlines.
Communicate project scope and timelines clearly to internal production and operations teams.

Financial & Invoicing

Create and deliver final invoices to clients upon event completion based on actual gear and labor utilized.
Ensure pricing strategies support company profitability while meeting client expectations.
Research pricing for gear and vendors to support the Sales team.
Create and manage purchase orders to support the Sales and Operations teams.

Insurance & Compliance

Review and manage client insurance certificates to ensure all compliance requirements are met.
Track certificate expiration dates and follow up with clients proactively.
Maintain organized records of all insurance documentation across locations.

Office & Inventory Operations

Perform accurate and timely data entry across company systems.
Maintain and replenish stock of expendables across office and warehouse locations.
Organize the office storeroom and expendables inventory for easy access and accurate tracking.
Assist in creating and managing inventory barcodes for equipment tracking.
Generate inventory asset reports to support Asset Management and Operations teams.

Qualifications

Bachelor’s degree in Business Administration, Technical Theatre, Event Management, or a related field; equivalent experience considered.
2+ years of experience in account management, office administration, or operations support — preferably in the entertainment or lighting industry.
Strong customer service and phone communication skills.
Proficient in Flex or similar inventory/production management systems.
Working knowledge of insurance certificates and compliance documentation.
Highly detail-oriented with strong data entry accuracy.
Excellent organizational and multitasking abilities across competing priorities.
Self-motivated, reliable, and comfortable supporting multiple California locations.
Collaborative team player with strong interpersonal skills across diverse teams.

Schedule & Working Conditions

Monday–Friday, 10:00 AM – 6:30 PM, with weekend availability as needed based on event schedules.
Primarily office-based with occasional travel to support other California locations.
Fast-paced environment requiring flexibility and comfort with shifting priorities and last-minute demands.

Pay: $100,000.00 - $135,000.00 per year
