Full Job Description

Position Summary

The Facilities Manager is responsible, under the direction of the Vice President of Construction and Regional Manager, for leading the maintenance, grounds, landscaping, snow removal, general labor, preventative maintenance, and capital-project operations across the company’s apartment portfolio of approximately 2,000 units.

The Facilities Manager directly supervises the Maintenance Leads assigned to each property, the Landscape Foreman, and other assigned field supervisors or project staff. This position is responsible for building and enforcing consistent operating standards; planning staffing and schedules; allocating labor and resources across properties; managing vendors; monitoring performance; and ensuring all communities meet company expectations for safety, appearance, maintenance response, preventative maintenance, unit turns, and resident service.

This is a management-focused field operations role. The Facilities Manager is expected to understand building systems and assist with escalated emergencies or complex issues when needed, but the primary responsibility is to ensure site teams have the staffing, materials, training, vendors, and plans necessary to complete work effectively and on time.

Reporting Relationships

The Facilities Manager reports to the Vice President of Construction and works closely with the Regional Manager to align maintenance and field operations with property needs, resident service expectations, leasing priorities, operating budgets, and capital plans.

Direct reports may include:

Maintenance Leads or Maintenance Supervisors
Landscape Foreman
Grounds, snow-removal, general labor, and field-project staff

Maintenance Technicians, grounds staff, and general labor employees may report through their respective Maintenance Lead, Foreman, or site supervisor.

Job Duties and Responsibilities

Team Leadership and Field Operations

Lead and supervise Maintenance Leads, the Landscape Foreman, and assigned field staff.
Establish clear expectations for staffing, scheduling, work quality, resident service, safety, and property appearance.
Coach, train, evaluate, and hold field leaders accountable for performance.
Allocate labor and resources between properties based on maintenance volume, turns, projects, weather, and operational priorities.

Maintenance and Preventive Maintenance

Oversee portfolio-wide maintenance operations, including work-order performance, emergency response, preventive maintenance, inspections, and resident-service standards.
Establish maintenance policies, procedures, response-time expectations, and quality-control standards.
Monitor property condition, recurring maintenance issues, equipment needs, and preventive-maintenance completion.
Provide escalation support for major maintenance issues and coordinate specialized vendors when necessary.

Turns, Grounds, and Seasonal Operations

Oversee unit-turn standards, staffing, scheduling, and quality control to support leasing and occupancy goals.
Lead grounds, landscaping, snow removal, exterior cleanliness, and seasonal maintenance operations through the Landscape Foreman and site teams.
Develop seasonal plans for landscaping, weather preparation, winterization, snow response, and property upkeep.

Vendors, Projects, and Capital Planning

Manage maintenance, landscaping, snow-removal, and specialty-service vendors, including performance, scopes, pricing, and service expectations.
Coordinate with the Vice President of Construction on capital projects, major repairs, renovations, and deferred-maintenance priorities.
Assist with annual capital planning, equipment replacement planning, and property-condition assessments.

Safety, Compliance, and Risk Management

Ensure field operations follow company safety standards and applicable regulatory requirements.
Oversee maintenance-related inspections, safety documentation, shop standards, and correction of property deficiencies.
Coordinate the field response to significant emergencies, including water losses, storms, utility failures, and major property incidents.

Budget, Systems, and Reporting

Support maintenance, grounds, snow-removal, and capital budgets through labor planning, purchasing oversight, vendor management, and cost control.
Ensure accurate use of the maintenance software or CMMS, including work-order documentation, preventive-maintenance tracking, and reporting.
Review key performance indicators and use results to improve maintenance response, turns, staffing, vendor performance, and property condition.

Typical Physical Demands

This position regularly requires walking properties, climbing stairs and ladders, entering mechanical rooms, inspecting roofs and exterior areas, kneeling, crouching, reaching, and occasionally assisting with hands-on maintenance or field work.

The employee must be able to lift and carry up to 50 pounds regularly and occasionally up to 75 pounds with assistance. The position requires working in seasonal temperatures and exposure to dust, noise, chemicals, cleaning products, and outdoor weather conditions while using appropriate personal protective equipment.

The employee must be able to drive between properties and respond to major emergencies outside normal business hours.

Education and Qualifications

Required

High school diploma or GED.
Valid driver's license and reliable transportation.
Strong leadership, organizational, communication, scheduling, and problem-solving skills.
Ability to manage multiple properties, competing priorities, staff needs, vendors, and projects.
Ability to participate in emergency and after-hours response as needed.
Ability to use property-management software, email, spreadsheets, and standard reporting tools.

Preferred

Five or more years of multifamily, residential, commercial, or facilities-maintenance experience.
Four or more years of experience leading maintenance teams, field operations, grounds crews, or multiple properties.
Experience overseeing maintenance operations for a large apartment portfolio.
Working knowledge of HVAC, plumbing, electrical, carpentry, appliances, roofing, building envelope, grounds maintenance, landscaping, and snow-removal operations.
Experience with preventive-maintenance programs, unit turns, vendor management, maintenance budgeting, and capital projects.
Experience with property-management systems, CMMS platforms, reporting, and maintenance analytics.
EPA Section 608 certification.
Certified Pool Operator certification.
OSHA 10 or OSHA 30 certification.
Applicable boiler, low-pressure boiler, or other building-systems licenses.

Pay: $75,000.00 per year
