Full Job Description

Ardent Medical Supply is seeking a dependable, highly organized Bilingual Shipping, Inventory & Customer Service Associate to support our daily warehouse, office, and order-fulfillment operations.

This position begins as a part-time probationary role for a fixed 6-month period. At the 6-month mark, a formal performance review will be conducted, and based on attendance, reliability, accuracy, and overall performance, the position will convert to permanent full-time employment.

The ideal candidate is comfortable working with customers, computers, shipping systems, and medical supply inventory. This is an on-site position that requires attention to detail, accuracy, and the ability to manage multiple priorities in a fast-paced environment.

The Probationary Period — How It Works

You are hired as a W-2 employee from day one, with all applicable payroll taxes withheld and employer contributions (Social Security, Medicare, unemployment insurance, workers' compensation, NY disability/Paid Family Leave) paid by Ardent Medical Supply.
The probationary period runs for a fixed 6 months from your start date.
At the end of the 6 months, you will receive a formal performance review measuring: attendance and punctuality, order accuracy, reliability, customer service quality, and proficiency with our systems and procedures.
Successful completion of the review results in conversion to a permanent full-time position.
Employment is at-will throughout, both during and after the probationary period.

Key Responsibilities

Pack and prepare medical supply orders for FedEx, USPS, local couriers, and company drivers.
Generate shipping labels, track packages, and update delivery information.
Receive incoming shipments and verify quantities against packing slips and purchase orders.
Inspect products for damage, shortages, or discrepancies.
Organize, label, and store inventory in the correct locations.
Perform routine inventory counts and report low-stock or missing items.
Enter patient, product, shipping, and order information into our EMR/order-management system.
Maintain accurate electronic and paper records.
Assist customers by telephone and in person in both English and Spanish.
Provide professional customer service regarding orders, pickups, deliveries, and product availability.
Prepare completed orders for patient pickup and carrier or driver collection.
Keep shipping, storage, and work areas clean, safe, and organized.
Communicate order delays, inventory issues, and missing information to management.
Follow company privacy, HIPAA, safety, and infection-control procedures.
Assist with additional office and operational duties as assigned.

Required Qualifications

Fluent in English and Spanish, including speaking and understanding both languages.
Previous shipping, receiving, inventory, warehouse, medical office, or order-fulfillment experience.
Proficient with Windows-based PCs, email, Microsoft Office, and general office software.
Previous data-entry experience; experience using an EMR, order-management system, or inventory system is strongly preferred.
Experience with FedEx Ship Manager, USPS shipping tools, or similar carrier platforms is preferred.
Strong telephone and in-person customer service experience.
Highly organized with excellent attention to detail.
Ability to enter information accurately and follow written procedures.
Reliable attendance and punctuality.
Professional communication and problem-solving skills.
Ability to work independently and as part of a team.
Must provide a current résumé, verifiable employment references, and work history.

Physical Requirements

Ability to stand, walk, bend, and reach throughout the workday.
Ability to move, organize, and pack medical supply products.
Ability to safely lift up to 5 to 10 pounds, with or without reasonable accommodation.
Ability to use a computer, telephone, printer, scanner, and shipping equipment for extended periods.

Preferred Qualifications

Experience working for a medical supply company, pharmacy, healthcare office, warehouse, or durable medical equipment provider.
Familiarity with HIPAA and handling confidential patient information.
Experience with inventory counts, packing slips, purchase orders, and delivery documentation.
Experience assisting patients, caregivers, or healthcare providers.
Knowledge of medical supplies, insurance orders, or durable medical equipment is a plus.

Compensation & Benefits

$20.00 – $21.00 per hour, paid as a W-2 employee.
This position does not include benefits such as health insurance or paid time off beyond what is required by law. Employees receive all legally required protections, including NYC Earned Safe and Sick Time, workers' compensation, unemployment insurance coverage, and NY disability/Paid Family Leave.
