Purpose
To establish and operate a 4,500 square foot temporary warehouse serving as an off-site logistics, staging, and redistribution hub for the project. The facility will support project operations by receiving, organizing, and storing materials prior to delivery to the active project site located approximately 10 minutes away. Materials will be sorted, palletized, and separated by unit and general project use, then documented and transported under a controlled transmittal process. The warehouse assistant will be responsible for inventory control, restocking of general materials, monitoring stock levels, forklift operation, and coordination of all inbound and outbound material movements.
Scope of Work
1. Warehouse Setup and Layout
Prepare and organize the 4,500 SF warehouse for efficient daily operations.
Establish designated zones for receiving, inventory storage, unit palletization, general material segregation, and outbound staging.
Maintain safe forklift access routes, clear signage, and adequate lighting.
Implement access control and safety measures per OSHA and project standards.
2. Receiving and Inspection
Receive and offload all deliveries from vendors and suppliers using appropriate equipment (including forklift)
Inspect deliveries for accuracy, completeness, and damage.
Log all materials into the warehouse inventory tracking system, including supplier details, date, and storage location.
Report any discrepancies or issues immediately to the project logistics and procurement teams.
3. Material Organization and Inventory Control
Separate materials into the following categories:

Unit-Specific Materials: Items designated for apartments, floors, or phases.

General Project Materials: Shared-use items such as fasteners, adhesives, piping, wiring, or finishes.

Maintain a live inventory system to track receipt, location, and distribution status.
Conduct regular cycle counts to ensure accuracy and reconcile records as needed.
Monitor stock levels and restock general project materials as required.
Notify the project team of low inventory, upcoming replenishment needs, or potential shortages for both general and unit-specific materials.
4. Palletization, Kitting, and Preparation for Redistribution
Palletize materials by unit, building, or work area per the construction sequence.
Segregate general project materials by trade or category for ease of deployment.
Label all pallets clearly with trade, unit, and destination identifiers.
Secure pallets using shrink wrap, banding, or other approved methods.
Stage outbound pallets by delivery schedule and priority in the outbound zone.
5. Redistribution, Transport, and Transmittal Process
Load and unload materials for scheduled deliveries using a forklift or pallet jack as required. Coordinate delivery timing with the on-site logistics team to ensure materials arrive as needed.
Complete a Material Transmittal Form for every outbound shipment, including:

Date and time of release

Driver name and vehicle ID

Itemized list of materials/pallets

Destination (building, floor, or unit)

Signature lines for both driver and on-site receiving personnel
Provide copies of all signed transmittals to the project management team and retain originals in warehouse records for audit purposes.
6. Software Expertise
The Warehouse Manager Assistant must demonstrate proficiency with digital tools and software systems essential to efficient material management and reporting.
Required competencies include:

Inventory Management Software: Use of systems such as Procore Materials, SAP MM, Viewpoint, Smartsheet, or equivalent platforms for logging receipts, tracking quantities, and managing material locations.

Spreadsheet & Database Tools: Intermediate to advanced knowledge of Microsoft Excel or Google Sheets for data entry, pivot reporting, and real-time stock level updates.

Document Control Systems: Experience with SharePoint, Procore, or similar cloud-based systems to store, retrieve, and distribute material transmittals and inventory logs.

Communication & Coordination Tools: Ability to interface with project teams through Outlook, Teams, and email-based tracking to ensure timely updates on material status, restocking needs, and delivery schedules.

Barcode or QR-Code Systems (Preferred): Familiarity with handheld scanners or mobile apps for efficient material check-in/check-out and verification during redistribution.
The Warehouse Manager Assistant is responsible for maintaining accurate digital records, generating weekly inventory and activity reports, and ensuring all warehouse documentation aligns with project and audit requirements.
7. Safety and Security
Maintain full OSHA compliance across all warehouse activities.
Ensure all personnel are trained in proper forklift operation, lifting techniques, and warehouse safety protocols.
Implement controlled access and secure the facility during off-hours.
Maintain clean, unobstructed aisles, fire extinguishers, and first-aid kits.
Conduct regular safety and housekeeping inspections to prevent hazards.
