Job Title: Administrative Assistant for Gender Wellness of Los AngelesLocation: Sherman Oaks, CA (In-person; Fridays are optional)Pay: $25/hourSchedule: Part-time, 9:30am - 2:30pmStart Date: Available now

Gender Wellness of Los Angeles (GWLA) is a gender-affirming mental health practice serving transgender, non-binary, and gender-diverse individuals and their families. We’re seeking a highly experienced Administrative Assistant to join our small, dedicated team.

This is not an entry-level role. We’re looking for someone who is organized, emotionally intelligent, detail-oriented, and deeply comfortable working in a mental health environment with transgender, non-binary, and gender-diverse adults and children.

Responsibilities

Answering and managing phone calls
Client intakes and first-point-of-contact communication
Client scheduling and calendar coordination
Managing and using SimplePractice
Organizing groups and setting up for group sessions
Maintaining charts and client records
Filing and document organization
Preparing and managing superbills
Managing the President’s professional schedule
Managing the President’s personal schedule
Supporting weekend events (1–3 per year)
General office and administrative duties as needed

Requirements (please read carefully)

Minimum 5 years of verifiable administrative experience
Mental health or healthcare administration experience required
Experience using SimplePractice
Must live in Los Angeles
Must have a reliable vehicle
Comfortable and experienced working with gender-diverse and gender non-conforming individuals
Excellent phone, communication, and client-facing skills
Highly organized, punctual, proactive, and respectful
Comfortable working in a private home office and around small dogs
Availability for 1–3 weekend events per year
2 professional references required
Final candidates will be required to pass a background check

1. Confidentiality & sensitive situations

You receive a phone call from an individual who sounds male and says their name is Steve, but asks to be referred to as Sarah. They share that they are transgender, have a wife and three kids, and no one in their life currently knows. They want to start therapy and ask for strict confidentiality. Later that day, you receive a call from Sarah’s wife asking for details about the earlier phone call.How would you handle Sarah? How would you handle Sarah’s wife?

2. Payment, boundaries, and emotional escalation

A long-term client calls very upset because their payment was declined for the third time. They say they’re in crisis and that it’s unfair to be blocked from services over money. They’re crying, angry, and asking you to “just let it slide this once” and promise to pay later. What do you say to the client at that moment? What steps do you take next?

3. Urgency, scope of role, and clinical boundaries

A parent calls asking for an urgent appointment for their teenager who just came out as trans and is being bullied at school. They’re very anxious and want to know exactly what kind of therapy you do, how the therapist will handle the situation, and what you personally think the child should do next. There are no immediate openings.How do you handle the call? What information do you provide, and what do you avoid providing?
