Multifamily Property Operations Manager

Minneapolis-St. Paul, Minnesota | Full-Time | 100+ Multifamily Rental Units

Compensation: $75,000-$90,000 base salary, depending on experience, plus performance-based bonus

Position Overview

We are seeking an experienced, hands-on Multifamily Property Operations Manager to oversee a

growing portfolio of approximately 100+ rental units in the Minneapolis-St. Paul area.

This is not simply an office-based property management position. We are looking for someone who understands

older Class B/C apartment buildings, leasing, maintenance, unit turnovers, rent collection, tenant relations, and

day-to-day property operations.

The right person will take ownership of the portfolio, identify problems before they become expensive, hold maintenance

personnel and contractors accountable, and keep apartments occupied and operating efficiently. The Property

Operations Manager will work directly with ownership and will have significant responsibility and authority over

day-to-day operations.

Leasing & Occupancy

Maintain high occupancy throughout the portfolio.
Market available apartments and respond promptly to prospective tenants.
Schedule and conduct apartment showings and consistently follow up with prospects.
Process applications, coordinate tenant screening, prepare leases, and coordinate move-ins.
Monitor rental rates and recommend appropriate pricing.
Track vacant units, days vacant, applications, and upcoming move-outs.
Develop a plan for any unit experiencing extended vacancy.
Conduct move-in and move-out inspections.

Unit Turnovers

Inspect units immediately following move-out and prepare detailed rent-ready punch lists.
Coordinate maintenance employees and outside contractors.
Establish completion dates and follow up until work is finished.
Inspect completed work for quality and keep turnover costs under control.
Target approximately 5-7 days from move-out to rent-ready, when the scope of work reasonably allows.

Maintenance & Property Operations

The successful candidate does not need to personally perform all maintenance but must have enough building and

maintenance knowledge to effectively manage those who do.

Receive, prioritize, and coordinate maintenance requests.
Determine whether work should be performed internally or by an outside contractor.
Understand basic plumbing, electrical, HVAC, boilers/heating systems, appliances, locks, doors, and general building

maintenance.

Question unnecessary replacements or excessive contractor recommendations.
Obtain competitive bids when appropriate and verify completed work. Conduct regular property inspections and identify deferred maintenance and safety issues.
Develop preventive maintenance schedules and coordinate emergency maintenance situations.
Maintain strong relationships with qualified local contractors and vendors.

Tenant Relations & Collections

Serve as the primary point of contact for tenants and respond promptly and professionally to concerns.
Monitor rent collections and delinquency and follow established collection procedures.
Coordinate required notices and legal processes when necessary.
Enforce lease requirements consistently.
Handle difficult tenant situations professionally and firmly.
Maintain proper documentation of tenant communications and incidents.

Financial & Administrative Responsibilities

Review property income and expenses and monitor maintenance and turnover costs.
Review vendor invoices for accuracy and identify unusual or unnecessary expenses.
Assist ownership with annual operating budgets and monitor actual expenses against budget.
Maintain accurate property-management records.
Work with accounting/bookkeeping personnel to ensure accurate financial reporting.

Weekly Reporting to Ownership

The Property Operations Manager will provide ownership with a concise weekly operating report covering:

Occupancy percentage; vacant units; days vacant by unit; units being turned and completion dates; applications and

leases pending; upcoming move-outs; delinquent accounts; major maintenance issues; outstanding work orders;

contractor/vendor issues; significant tenant issues; and upcoming capital or repair needs.

The goal is for ownership to have a clear understanding of the portfolio without needing to personally chase down

information.

Qualifications

5+ years of multifamily property-management or apartment operations experience preferred.
Experience with Class B/C or workforce housing strongly preferred.
Experience managing older apartment buildings.
Strong understanding of apartment maintenance and unit turnovers.
Demonstrated leasing and occupancy performance.
Knowledge of Minneapolis/St. Paul rental regulations and Fair Housing requirements.
Experience managing maintenance employees and outside contractors.
Ability to read basic property financial statements and operating reports.
Strong organizational and follow-through skills.
Comfortable using property-management software, email, smartphones, and electronic work-order systems.
Valid driver's license and reliable transportation.

The Person We're Looking For

Takes ownership rather than waiting to be told what to do. Regularly visits and walks the properties, notices problems, and gets them resolved.
Follows up until work is actually completed.
Understands the difference between an emergency and something that can wait.
Treats company money as carefully as their own.
Is comfortable working with contractors and maintenance personnel.
Communicates well with tenants while maintaining appropriate boundaries.
Understands that every vacant day costs the property money.
Is willing to pick up the phone and solve problems rather than simply forwarding emails.
Can operate independently when ownership is out of state.

Performance Bonus

In addition to base salary, the position may include an annual performance bonus based on measurable results such as

portfolio occupancy, average days vacant, unit turnover time, rent collection/delinquency, maintenance response and

completion times, operating expense control, property inspection results, resident retention, and overall portfolio

performance.
