Project Coordinator – Luxury Residential Design, Real Estate & Development

About Us

We are a growing boutique residential design, real estate, and development business focused on creating exceptional homes throughout Los Angeles. Our work includes custom home construction, high-end residential renovations, interior design, residential real estate brokerage, rental properties, and select mixed use development projects.

We're looking for someone who wants to become a trusted partner and the owner's right hand - a highly organized, proactive professional who enjoys bringing order to complex projects and helping a growing business run smoothly. This is not a traditional administrative assistant role. Every day is different, and you'll have the opportunity to take on increasing responsibility as the business grows.

What You'll Do -

Project Coordination

Coordinate with architects, engineers, contractors, vendors, and city agencies.
Track project schedules, deadlines, permits, and deliverables.
Visit project sites to monitor progress and compare completed work with design plans and specifications.
Help identify discrepancies, follow up with contractors, and coordinate resolutions.
Maintain organized project documentation and communicate updates across multiple active projects.

Interior Design Support

Coordinate furniture, materials, finishes, and vendor orders.
Source products and obtain pricing and samples.
Schedule deliveries and installations.
Assist with styling and installation days as needed.

Real Estate Transaction Support

Coordinate listing preparation and marketing materials.
Schedule showings, inspections, and appointments.
Assist with transaction coordination and client communications.
Support marketing initiatives and general brokerage operations.

Executive Support

Manage calendars, scheduling, and travel arrangements.
Prioritize emails, documents, and follow-up items.
Assist with research and special projects.
Help keep day-to-day operations organized and moving forward.

Rental Property Operations

Coordinate maintenance, repairs, furnishing, and vendor scheduling.
Communicate with tenants
Assist with purchasing, inventory, and property-related logistics.

Marketing & Social Media

Coordinate photography, video, and marketing materials.
Help maintain and grow website and social media presence.
Assist with creating, posting and maintaining content .

Administrative & Personal Support

Occasionally assist with personal and household logistics that help keep everything running smoothly.

Who We're Looking For

Extremely organized with exceptional attention to detail.
Strong communication and follow-up skills.
Proactive, resourceful, and comfortable solving problems independently.
Able to juggle multiple projects and changing priorities.
Professional, dependable, and trustworthy.
Comfortable using basic AI tools such as ChatGPT or Claude
Interest and ideally some experience in residential design, architecture, construction, luxury real estate, or project coordination

Compensation

Starting around $70,000 annually, depending on experience.
Opportunity for increasing responsibility and compensation as the business grows.

Work Environment

This is a hybrid position based partly out of our home office in Sherman Oaks, with some days remote and others on site in Topanga/Malibu, Pacific Palisades, West Hollywood or Hancock Park. You'll be regularly visiting project sites, vendors, showrooms, owned properties, and client properties throughout Los Angeles.
