Full Job Description

Job Title: Accounts Payable Specialist

Reports To: Business Operations Manager

Job Summary:

The Accounts Payable Clerk supports the financial operations of a manufacturing organization by ensuring the accurate and timely processing of supplier invoices, with a strong focus on purchase order matching, inventory-related transactions, and vendor account reconciliation. Working closely with the Business Operations Manager, this role helps maintain financial accuracy, supports cost control initiatives, and ensures compliance with internal policies and audit requirements.

Key Responsibilities:

· Process a high volume of supplier invoices related to raw materials, production supplies, freight, and overhead expenses

· Perform 3-way matching of invoices to purchase orders and receiving documentation

· Investigate and resolve discrepancies between invoices, purchase orders, and goods receipts in coordination with Purchasing and Receiving teams

· Prepare and process payments (checks, EFTs, wire transfers) in accordance with payment terms and cash flow considerations

· Reconcile vendor statements and maintain up-to-date supplier accounts

· Maintain accurate AP records, ensuring proper coding to general ledger accounts and cost centers

· Communicate effectively with suppliers to resolve issues and maintain strong working relationships

· Collaborate with Purchasing, Production, and Operations teams to ensure smooth transaction flow

· Identify process improvements to enhance efficiency and accuracy within the AP function

Qualifications:

· Diploma or certificate in Accounting, Finance, or a related field preferred

· 1–3 years of accounts payable experience, preferably in a manufacturing or inventory-driven environment

· Strong Microsoft Office skills

· Strong attention to detail and problem-solving skills

· Excellent organizational and time management abilities

· Effective communication skills and ability to work cross-functionally

Working Conditions:

· Office-based role within a manufacturing environment

· Interaction with warehouse, production, and purchasing departments

· Occasional overtime may be required
