Pre Need Administrator – Crystal Lake, IL

Pay: $25.00 per hour

Position Summary

Cremation Society is seeking a Pre Need Administrator for its Crystal Lake, Illinois location. This is a full-time, in-person opportunity working Monday through Friday from 8:30 AM to 5:00 PM.

The ideal candidate will be compassionate, organized, detail-oriented, and comfortable handling sensitive information while supporting families during difficult times. This position plays a critical role in managing pre-need arrangements, maintaining accurate financial records, and ensuring all documentation is processed accurately and efficiently.

Responsibilities

Answer incoming phone calls, greet visitors, and provide professional support to families and guests
Handle sensitive phone calls from families reporting the passing of a loved one with compassion and professionalism
Manage and oversee the processing of all pre-need arrangements, including payment plans, documentation review, and paperwork completion
Review information entered by staff and ensure required documentation is accurately uploaded and maintained
Process paperwork and enter information into computer databases
Maintain pre-need banking and trust/insurance records, including deposits, payment tracking, and fund transfers
Record payments and maintain accurate financial records within the Procession Database
Oversee monthly pre-need credit card payments and ensure proper documentation
Send pre-need funds to trusts on a monthly basis
Process trust fund removals and cancellation refunds following a passing
Prepare and distribute weekly sales reports
Prepare and make banking deposits
Assist with returning cremated remains to authorized individuals while maintaining proper procedures
Order office supplies and maintain office inventory
Manage office postage and checks
Assist with general office maintenance and organization
Perform additional duties as assigned to support company operations

Requirements

Previous administrative, customer service, financial, or office management experience preferred
Experience handling confidential or sensitive information with professionalism and discretion
Strong attention to detail with the ability to maintain accurate records and documentation
Comfortable working with computer systems, databases, and Microsoft Office applications
Ability to communicate clearly and compassionately with families during difficult circumstances
Strong organizational skills with the ability to manage multiple priorities and deadlines

Skills & Qualifications

Excellent verbal and written communication skills
Compassionate and professional approach when interacting with families and colleagues
Strong data entry and record-keeping abilities
Ability to work independently while also collaborating with a team
High level of accuracy and attention to detail
Dependable, organized, and able to handle confidential financial information
Ability to remain calm and professional in emotionally sensitive situations
