Full Job Description

ABOUT THE BOOKKEEPER POSITION

We are a small Property Management company overseeing a portfolio of 18x apartment buildings. Looking for an experienced Bookkeeper who will oversee the payroll and bookkeeping of the maintenance staff, resident manager payroll, and staff payroll. In total, we currently have 3x maintenance technicians and 2x in-house office staff.

DAILY TASKS

Pick up, review, and process mail from PO Box

Post rent payments and deposit rent checks/money orders at bank

Process all accounts payables including vendor and maintenance invoices, utility bills, and other operating expenses

Pay/register annual RSO/HACLA registration fees

Process quarterly owner distributions

Process security deposit refunds

Manage RUBS billing

Perform monthly bank reconciliations

Prepare monthly financial reports for owners

Submit financial documentation to mortgage lenders, property tax appeal firms, insurance carriers, and CPA

Manage in-house impound accounts for property taxes and insurance

Update cost recovery spreadsheet for capital improvement projects

Prepare year end 1099's

IN QUICKBOOKS:

Process bi-monthly payroll

Remit monthly payroll taxes, and submit quarterly and annual payroll reports

Onboarding new employees

Enter credit card purchases

Prepare In-house Maintenance invoices

Prepare year end W-2's

EDUCATION AND EXPERIENCE

High school diploma or equivalent is required.
At least four years of experience in Bookkeeping and Property Management industry or directly related field.

SKILLS AND REQUIREMENTS

Proven experience as a Bookkeeper, office administrator, office assistant, or similar role.
Ability to read, write and understand English.
Ability to use general office equipment, such as telephone, computer, printer, copier, and scanner.
Efficient with Quickbooks, Microsoft Excel, and general accounting principles.
Capable of sending/receiving/downloading emails, texts, photos, and videos.
Strong organizational and time-management skills.
Ability to maintain confidentiality.
Ability to work under minimal to moderate supervision.

SCHEDULING

Approximately 30-40 hours per week.
