Job Summary
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role involves coordinating administrative functions, managing office supplies, supporting staff, and ensuring a smooth workflow across departments. The ideal candidate will bring exceptional organizational skills, strong computer literacy, and a proactive attitude to foster an efficient, welcoming workplace. Bilingual abilities and experience with office management software are highly valued to enhance communication and operational effectiveness.

Duties

Supervise front desk operations, including greeting visitors, phone systems, and providing excellent customer service.
Handle calendar management for executives and team members, scheduling appointments and coordinating meetings with precision.
Maintain accurate data entry, filing systems, and record keeping using tools such as Microsoft Office, Google Workspace, and QuickBooks.
Support bookkeeping tasks, including invoicing, expense tracking, and basic financial record reconciliation.
Manage office supplies inventory, place orders as needed, and ensure the office remains organized and well-stocked.
Assist with clerical duties such as proofreading documents, preparing correspondence, and supporting administrative projects.
Provide exceptional customer support by addressing inquiries promptly via phone or email while maintaining professional phone etiquette.
Coordinate with vendors and service providers to ensure smooth office operations and resolve any issues efficiently.
Support personal assistant functions for executives including calendar management, travel arrangements, and document preparation.
Maintain a clean, safe work environment by adhering to health protocols and overseeing routine maintenance requests.

Experience

Proven experience in Construction/ Excavation office management or administrative roles within a professional setting.
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks accounting software.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Previous clerical experience including data entry, filing systems, proofreading documents, and handling correspondence.
Experience working in customer service roles with strong phone etiquette and interpersonal skills.
Bilingual abilities are preferred to support diverse teams and client interactions.
Familiarity with multi-line phone systems, calendar management tools, and basic bookkeeping practices is highly required.
