We are a traditional on-site company. That said, our company is based in the Austin Area. This role is . It is required to be fully onsite during business hours. Our business hours are 9am-5pm Central Time M-F and 10am-2pm Saturday.

Strong interpersonal skills and attention to detail are essential for managing logistics and operations smoothly. Simply put - you can communicate quickly and effectively.
- Proactive Problem-Solving and Optimization: Proactively identify potential issues and implement solutions to optimize processes and improve efficiency. The ability to think critically and solve problems in a timely manner, while remaining calm and cool will ensure the successful execution of tasks and projects. Simply put - you do what needs to be done to get the job done quickly.
- Project Management Excellence: Demonstrate strong project management skills to oversee multiple responsibilities simultaneously. Prioritize tasks, set timelines, and ensure timely completion of projects while maintaining quality standards. Attention to detail and the ability to work well under pressure are essential for achieving project objectives effectively. Simply put - your zone of genius is getting sh*t done efficiently.
Responsibilities:1. Routing & Venue Vetting
- Translate weekly order manifests into logical delivery and pickup routes, ensuring strict adherence to LIFO (Last In, First Out) load sequencing.
- Research "last mile" hurdles (loading docks, clearance, specific load-in windows) and update the routing notes.
- Differentiate between hard and soft delivery windows on manifests, building calculated traffic and weather "padding" into the daily route schedules.
- Flag "two-truck orders" or tight hard windows before they become a crisis.
2. Labor & Schedule Administration
- Build the preliminary weekly labor schedule based on upcoming event volume.
- Manage the "After Hours" Google Sheets signup board—updating quotes/reservations daily and tracking the equal-opportunity hour distribution among the crew.
- Coordinate routine shift swaps and track PTO requests against your blackout dates (like SXSW).
3. Capacity & Inventory Coordination
- Run daily inventory availability audits for peak-season items (tables/chairs) and flag potential shortages early.
- Identify at capacity weekends and plan to add additional staff for turnaround of peak season items to avoid shortages.
- Act as the primary bridge to the Office team for sub-rentals. When a shortage is identified, they coordinate the pickup/delivery of sub-rented gear.
- Audit incoming order notes from the office to ensure they are actionable (e.g., clarifying if 100ft of pipe-and-drape is a straight wall or cubes) before it hits the loading dock.
4. "Hot-Shot" & Real-Time Tracking
- Monitor trucks in real-time via routing software.
- Keep the office updated on delays in case they need to reach out to the client.
- When an onsite team reports a missing or broken item, the assistant coordinates the immediate dispatch of the "hot-shot" replacement vehicle.

Requirements
- 1+ years of experience in the event industry is a plus, but not required
- 1+ years of experience in a logistical or project management role
- 1+ years of experience driving a 16ft box truck. No CDL required
- References endorsing your ability to manage multiple projects efficiently, get it done when asked the first time, get all details right
- Must be tech savvy and able to embrace our ‘One & Done’ philosophy. The task is assigned, clarification is asked and given once and then the task is completed mistake-free
- Highly accountable behavior with solid personal responsibility
- Ability to quickly understand and apply strategy
- Ability to work with little supervision BUT ask for help when needed
- Must have highly effective written communication skills
- Demonstrated ability to contribute to the success of a team, with humor and grace

Compensation:
Compensation is __. This role is full-time with benefits after 90 days of employment. The first 90 days will be employed as a 1099 Contractor. After a successful review, the position will move to W-2 employment status.
