Full Job Description

Accounts Payable Supervisor

Location: Staten Island, NY
Department: Finance/Accounting
Reports To: Controller
Status: Full-Time

Please note: The office is located in the Port Richmond area of Staten and it's fully in-person. Monday through Friday - 8 - 4 PM.

Position Summary

The Accounts Payable Supervisor is responsible for leading the daily operations of the Accounts Payable department while ensuring accurate and timely processing of vendor invoices, payments, and expense reimbursements. This position supervises AP staff, maintains strong internal controls, supports month-end close activities, and works closely with internal departments and external vendors to ensure efficient financial operations.

Key Responsibilities

Supervise the day-to-day operations of the Accounts Payable team.
Review and approve vendor invoices for accuracy, coding, and proper authorization.
Oversee invoice matching (purchase orders, receiving documents, and invoices).
Manage weekly check runs, ACH payments, and wire transfers.
Reconcile vendor statements and resolve payment discrepancies.
Maintain vendor master files, including W-9 documentation and vendor onboarding.
Monitor AP aging reports and ensure timely payment of obligations.
Ensure compliance with company policies, GAAP, and internal controls.
Assist with month-end and year-end closing activities, including accruals and reconciliations.
Prepare AP reports for management and auditors.
Coordinate annual 1099 reporting.
Train, mentor, and evaluate Accounts Payable staff.
Identify opportunities to improve AP processes through automation and workflow improvements.
Serve as the primary contact for vendor inquiries and escalated payment issues.
Collaborate with Purchasing, Operations, and Finance departments to resolve invoice and purchasing issues.
Support external and internal audits by providing requested documentation.

Qualifications

Bachelor's degree in Accounting, Finance, or related field preferred.
5+ years of Accounts Payable experience.
2+ years of supervisory or team lead experience.
Strong understanding of accounts payable procedures, three-way matching, and general accounting principles.
Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, and formulas.
Excellent organizational, communication, and leadership skills.
Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications

Experience with AP automation software.
Knowledge of New York State/MA/RI sales tax regulations and 1099 reporting.

Compensation

Expected salary range: $85,000 - $90,000 annually
