Full Job Description

Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance organizational efficiency, and provide exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess strong technical skills to manage a variety of administrative tasks with enthusiasm and professionalism. Key Responsibilities

Answer phones, respond to emails, and direct inquiries to the appropriate staff.
Maintain organized project files and other documentation.
Prepare letters, reports, meeting notes, spreadsheets, and other correspondence.
Assist project managers with daily administrative and clerical tasks.
Track invoices, purchase orders, receipts, and subcontractor paperwork.
Enter and maintain project information in company databases and construction management software.
Assist with scheduling meetings, inspections, deliveries, and appointments.
Maintain vendor and subcontractor contact information.
Collect and organize employee timecards and payroll information.
Assist with accounts payable and accounts receivable paperwork.
Prepare and distribute project documents to subcontractors, vendors, and clients.
Maintain office supplies and coordinate general office needs.
Help ensure required project and compliance documents are completed and filed.
Maintain confidentiality of company, employee, client, and project information.
Provide general administrative support to the construction office as needed.

Qualifications

High school diploma or equivalent.
1–3 years of office or administrative experience; construction experience preferred.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Proficiency with SupplyPro, Microsoft Word, Excel, Outlook, and other office software.
Ability to maintain accurate records and manage multiple priorities.
Strong attention to detail.
Professional and courteous communication with employees, subcontractors, vendors, and clients.
Ability to work independently and as part of a team.
Knowledge of construction terminology and documentation is a plus.
