Office Manager

Location: Boston, MA
Job Type: Full-Time, On-site
Schedule: Monday-Friday 8am-4pm

Salary: $70,000–$90,000 annually, based on experience.

About Us and Who We’re Looking For

William & Co. Foods is a growing wholesale meat distribution company committed to providing high-quality meats, exceptional customer service, and operational excellence. We are seeking a highly organized, detail-oriented Office Manager to serve as the operational hub of our office. This is a dynamic, hands-on position that combines accounting, customer service, office administration, and executive support, making it an excellent opportunity for someone who enjoys variety and taking ownership of their work.

The ideal candidate is self-motivated, dependable, and comfortable managing multiple priorities while working both independently and as part of a team. You are a natural problem solver who remains calm under pressure, communicates professionally with customers and coworkers, and takes pride in keeping an office running smoothly.

In this role, you will oversee accounts receivable, process customer payments, monitor collections, maintain customer records, answer phones, enter customer orders, order office and kitchen supplies, coordinate with vendors, and provide administrative support to company leadership. Because this position touches nearly every aspect of the business, no two days are exactly alike. We're looking for someone who enjoys wearing many hats, takes initiative, and is always looking for ways to improve processes while supporting the continued success of the company.

Primary Responsibilities

Accounts Receivable & Accounting

Maintain customer accounts and collections
Process customer payments daily including checks, ACH, credit cards, and cash deposits
Monitor aging reports and follow up on past-due accounts
Apply credits and customer adjustments
Prepare weekly A/R reports for management
Generate customer statements
Coordinate monthly gifts, samples, and company contributions
Maintain records of A/P back of house operating accounts and pay as directed (weekly)

Customer Service & Sales Support

Answer incoming phone calls
Enter customer orders accurately and promptly
Assist customers with questions, order issues or account inquiries
Set up new customer accounts and process credit applications

Office Administration

Manage office supplies and kitchen inventory
Sort and distribute incoming mail
Prepare outgoing mail and postage
Organize physical and electronic filing systems
Coordinate office equipment maintenance, including computers, printers, phones, internet, and postage equipment
Maintain organized customer and vendor files
Update business records and spreadsheets

Executive & Administrative Support

Provide administrative support to company leadership
Assist with special projects as needed
Maintain office procedures and documentation

Qualifications

Bachelor’s Degree minimum
3+ years of office management, accounting, or administrative experience strongly preferred
Strong QuickBooks Desktop experience
Microsoft Office Experience Required (Excel, Outlook, Word)
Comfortable learning new software systems
Accounts Receivable experience
Comfortable collecting overdue accounts professionally
Strong customer service skills
Professional phone etiquette
Strong written and verbal communication skills
Excellent organizational and time management abilities
High attention to detail
Ability to manage multiple priorities without constant supervision
High level of discretion with financial information

Pay: $70,000.00 - $90,000.00 per year
