Job Overview
Advanced Renewable Solutions (ARS) is seeking a highly organized and customer-focused Service Operations Coordinator to support our growing Solar Service Division. This position serves as the primary point of contact between customers, field technicians, and the operations team. The Service Operations Coordinator will be responsible for coordinating daily service activities, managing customer communications, dispatching technicians, tracking service requests, and ensuring all service documentation is accurate and complete.

The ideal candidate is detail-oriented, thrives in a fast-paced environment, and enjoys providing exceptional customer service while supporting field operations.

Essential Responsibilities

Manage the department's shared service email inbox and ensure customer inquiries are addressed promptly.
Answer incoming customer service calls and provide professional, courteous support.
Schedule and dispatch field technicians based on priority, geographic location, and technician availability.
Monitor technician schedules throughout the day and adjust assignments as necessary.
Conduct daily check-ins with field technicians to monitor progress and provide operational support.
Provide customers with updates regarding open service tickets, scheduling, and project status.
Manage customer service portfolios and ensure service requests are progressing according to company expectations.
Review field service reports for completeness, accuracy, and proper documentation before submission to customers.
Coordinate with technicians to obtain missing documentation, photos, testing results, or other required information.
Maintain accurate records within the company's service management system.
Assist with prioritizing emergency service requests and scheduling adjustments.
Work closely with the Operations team to ensure customer expectations are met.
Help maintain department performance metrics, including response times, ticket aging, report completion, and customer satisfaction.
Support continuous improvement initiatives within the Service Department.

Qualifications

Excellent customer service and communication skills.
Strong organizational and time management abilities.
Ability to prioritize multiple tasks in a fast-paced environment.
Experience with Microsoft Outlook, Excel, Word, and other Office applications.
Strong attention to detail and follow-through.
Ability to work independently and collaboratively within a team.
Dispatch, customer service, or service coordination experience preferred.
Experience in the commercial solar, electrical, construction, or field service industry is a plus.
