Full Job Description

About the Position

Artmill Group is seeking a motivated, highly organized Operations Coordinator to oversee day-to-day operations across our art services businesses. This is a hands-on leadership position for someone who enjoys improving systems, coordinating people and projects, and solving the practical challenges that arise in a creative production environment.

The ideal candidate will have experience in custom framing, fine art services, fabrication, logistics, or a related field. They will bring an entrepreneurial mindset, sound judgment, and the ability to move comfortably between long-term operational planning and immediate, hands-on problem-solving.

Working closely with senior leadership and department managers, the Operations Coordinator will help coordinate production, transportation, facilities, staffing, purchasing, and special projects that support the continued growth of Artmill Group.

Key Responsibilities

Operations and Production

Coordinate day-to-day operational priorities across departments.
Work with department managers and production staff to keep projects moving efficiently and on schedule.
Monitor workflows, identify bottlenecks, and implement practical improvements.
Develop and maintain processes, procedures, and documentation that improve consistency, accountability, and efficiency.
Help manage special projects and operational initiatives related to company growth and expansion.
Track multiple projects simultaneously and communicate priorities, deadlines, and changes to the appropriate team members.

Logistics and Transportation

Oversee scheduling and logistics for completed projects, incoming materials, supplies, deliveries, and installations.
Coordinate the efficient use of company vehicles, including panel vans and box trucks.
Work with art handlers, production teams, vendors, and client-facing staff to support safe and timely movement of artwork and materials.
Assist with transportation and installation activities when operationally necessary.

Facilities and Inventory

Oversee building operations, including routine maintenance, cleaning, repairs, security, and general upkeep.
Coordinate outside vendors and service providers.
Help manage purchasing, supplies, inventory levels, and the organization of shared work and storage areas.
Promote a clean, professional, efficient, and safety-conscious working environment.

Staffing and Team Support

Assist with recruiting, interviewing, hiring, onboarding, and training employees.
Help clarify responsibilities and establish effective workflows among departments.
Encourage proactive communication, collaboration, accountability, and professional development.
Provide practical support and guidance to employees while helping address day-to-day operational issues.

Financial and Administrative Support

Assist with budgeting, expense tracking, invoice review, reconciliations, reporting, and forecasting.
Help monitor operational expenses and identify opportunities to control costs without compromising quality or service.
Maintain accurate records and provide timely operational information to senior leadership.
Support administrative and financial processes using QuickBooks, Excel, and Microsoft 365.

Qualifications

Professional experience in custom framing, fine art services, art handling, fabrication, construction, logistics, or a closely related industry.
Prior experience in operations, production coordination, project management, or team leadership.
Strong organizational skills and exceptional attention to detail.
Demonstrated ability to manage multiple projects, priorities, and deadlines simultaneously.
Clear, proactive, and professional communication skills.
Strong analytical, troubleshooting, and problem-solving abilities.
Ability to develop practical solutions and follow through on their implementation.
Working knowledge of Microsoft Excel and Microsoft 365.
Familiarity with QuickBooks or comparable accounting software.
Valid driver’s license and a clean driving record.
Ability and willingness to drive a panel van or box truck.
Comfort working around tools, installation hardware, production equipment, and active shop environments.
Ability to work independently while collaborating effectively with leadership and staff.
Appreciation for craftsmanship and an understanding of how effective systems contribute to both quality and customer satisfaction.

Preferred Experience

Direct experience in custom picture framing or fine art services.
Experience coordinating deliveries, installations, or art-handling projects.
Familiarity with light construction, facilities management, or building maintenance.
Experience assisting with budgets, purchasing, expense tracking, or operational reporting.
Experience recruiting, onboarding, supervising, or developing employees.
