Patient Care Coordinator

Schedule:

Monday & Wednesday: Poway Office – 15725 Pomerado Rd, Poway, CA 92064
Tuesday, Thursday & Friday: San Diego Office – 6719 Alvarado Rd, San Diego, CA 92120

About Us

ActiveMed Integrative Health Center is a growing, patient-centered integrative medical practice dedicated to providing exceptional care through acupuncture, naturopathic medicine, physical therapy, massage therapy, and other holistic healthcare services. We are seeking a compassionate, organized, and detail-oriented Patient Care Coordinator to join our team.

This role is ideal for someone who thrives in a fast-paced healthcare environment, enjoys helping people, and takes pride in delivering an exceptional patient experience from the moment a patient contacts our office through completion of their care.

Position Summary

As a Patient Care Coordinator, you will play a critical role in ensuring the smooth daily operation of our clinics. You will serve as the first point of contact for patients while managing administrative responsibilities including scheduling, insurance verification, patient communications, medical documentation, and provider support.

The ideal candidate is highly organized, professional, proactive, and able to multitask while maintaining accuracy and delivering outstanding customer service.

Responsibilities

Welcome patients and create a warm, professional, and positive first impression.
Schedule, confirm, and coordinate patient appointments across multiple providers and locations.
Conduct patient intake and collect medical histories prior to appointments.
Maintain accurate patient demographic and medical records within the electronic medical record (EMR) system.
Verify insurance eligibility, benefits, authorizations, and referrals.
Process insurance documentation while maintaining compliance with applicable regulations.
Answer incoming phone calls, emails, and patient inquiries promptly and professionally.
Assist patients with registration forms and required documentation.
Collect patient payments and maintain accurate financial records.
Coordinate provider schedules and assist with daily clinic operations.
Communicate effectively with providers, patients, insurance companies, attorneys, and referral sources.
Maintain HIPAA compliance and strict patient confidentiality.
Assist with inventory management and ordering office and medical supplies.
Ensure compliance with office policies, procedures, and regulatory requirements.
Perform additional administrative duties as needed to support clinic operations.

Qualifications

Previous experience in a medical office, healthcare administration, or patient coordination preferred.
Experience using electronic medical records (EMR) systems and Google Workspace preferred.
Knowledge of medical office operations, insurance verification, and healthcare workflows.
Insurance authorization and referral experience is a plus.
Excellent organizational skills with exceptional attention to detail.
Strong ability to multitask, prioritize, and work efficiently in a fast-paced environment.
Outstanding written and verbal communication skills.
Friendly, compassionate, and patient-focused demeanor.
Ability to maintain professionalism, discretion, and confidentiality.
High school diploma or equivalent required.
Medical administrative certification is a plus.
Bilingual in English and Spanish is a plus.
