Full Job Description

Job Overview:

We are seeking an Accounting & Administrative Assistant to join our team. In this vital role, you will manage financial data entry, maintain accurate records, and assist with various accounting & administrative functions.

Summary of Included Duties:

As a small team, employees are expected to assist in various areas of operation as needed; this list represents the core focus of the role but is not exhaustive.

Accounts payable & vendor management

Process vendor invoices and payments, including auditing for accuracy and maintaining expense records.
Manage vendor account documentation and coordinate purchase order tracking with technicians.

Accounts receivable & billing

Audit and process customer payments and deposits accurately and on time.
Manage invoicing, collections, and vendor rebate tracking.

Recordkeeping & administrative support

Maintain employee records, including charge accounts and timesheets.
Track performance trends and maintain spreadsheets across departments.

General office administration/department coordination

Provide general office support, including phone coverage, correspondence, and workspace upkeep.
Assist the Service Department and Operations Manager with administrative and warranty coordination tasks.

Job Requirements:

Proficiency in QuickBooks Desktop & Microsoft Office.
3+ years experience in accounting role.
1+ year customer service experience.
Ability to handle confidential information with discretion and professionalism.
Strong understanding of accounting concepts including debits & credits, double entry bookkeeping, journal entries, and general ledger accounting.
Excellent attention to detail combined with proven analysis skills for account reconciliation and error resolution.
Strong communication skills for effective customer service and collaboration across departments.
Ability to work full-time in person.

We’d love it if you:

Have experience in a Construction/Trades office setting.
Have used HouseCall Pro/Service Titan/other similar software.

Pay: From $24.00 per hour
