About us

OVERVIEW

At The Retina Institute, the Clinical Receptionist is the first point of contact for patients visiting or contacting the clinic, providing exceptional customer service and administrative support. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

REPORTING RELATIONSHIPS

The Clinical Receptionist reports to the Clinic Manager for compliance with the policies, procedures and protocols established by the practice.

COMPETENCY A: CLINICAL RECEPTION

1. Key holder as the first employee to enter the building each morning, or the last employee to leave each evening.

2. Opens front office each morning, turning on computers and systems.

3. Verify patient insurance coverage and eligibility. Assist patients with insurance-related inquiries and paperwork.

4. Ensures patients are treated in a prompt and courteous manner.

5. Friendly greeting to patients as they arrive at the clinic, assist with check-in procedures, and verify patient information. Provide direction and assistance to patients as needed.

6. Process patient payments, co-pays, and outstanding balances accurately. Coordinate with billing department to address any billing or insurance issues.

7. Check out patients at the end of the appointment.

8. Schedule patient appointments efficiently, ensuring appropriate allocation of time slots and coordination with clinical staff. Manage appointment cancellations and rescheduling requests as needed.

9. Collect monies for retail sales as needed.

10. Communicate with surgery scheduling to approve all in office treatment and procedures and give patient information for future surgeries done in operating room.

11. Keeps the office stocked with all necessary supplies.

12. Answer phone calls and emails promptly and professionally. Provide information to patients regarding clinic services, appointment availability, and general inquiries.

13. Maintain accurate and up-to-date patient records in the electronic health records (EHR) and practice management (PM) systems. Ensure compliance with patient confidentiality regulations (HIPAA).

14. Assist with various administrative tasks such as filing, faxing, scanning, emailing. Collaborate with clinical staff to ensure smooth clinic operations.

15. Assist with moving patients throughout the clinic, rooming and seating patients, and retrieving medications as needed.

COMPETENCY B: GENERAL DUTIES

1. Read, understand, and comply with all policies and procedures as outlined in the TRI Employee Handbook, and on Sharepoint.

2. Read, understand, and comply with all procedures and workflows as outlined on Sharepoint.

WORKING CONDITIONS

The Clinical Receptionist works in clinic settings that are well ventilated and well lighted and may experience moderate levels of stress in meeting the responsibilities of the position. The Clinical Receptionist works in a clinic of consistent traffic and flow, minimal privacy, moderate noise, and uses shared equipment.

PHYSICAL REQUIREMENTS

1. Adequate corrected hearing and visual acuity to perform the essential functions of the job.

2. Must be able to clearly speak English and articulate and present information to coworkers and the public.

3. Must be able to lift 50 pounds and work long periods of sitting and standing with frequent walking and bending.

4. Must be able to assist patients as needed throughout the clinic.

AGE-SPECIFIC KNOWLEDGE REQUIREMENTS

This position does not require any age-specific knowledge.

QUALIFICATIONS

1. Education: The Clinical Receptionist must have a high school diploma or equivalent.

2. Experience: No experience required, however, preference will be given to candidates who possess experience in fast-paced and multi-task oriented environments. Preference will also be given to candidates with a background in healthcare reception or administration.

3. Skills: The Clinical Receptionist must have the following skill set:

a. Effectively work with patients, medical and administrative staff.

b. Strong attention to detail and accuracy.

c. Computer literacy and keyboarding skills.

d. Basic math and spelling skills.

e. Always provide good customer service.

f. Positive demeanor and always greet patients with a smile along with proper telephone etiquette.

4. Personal Characteristics:

a. Maintains effective working relationships with all internal and external contacts.

b. Maintains a team player mentality, supportive of department goals and company goals and initiatives.
