Position Overview
One Stop Air Mechanical is seeking an experienced HVAC Estimator to support our growing Multifamily Department.
This position is responsible for reviewing construction plans and specifications, completing detailed HVAC material and labor takeoffs, obtaining vendor pricing, identifying project risks, and preparing accurate bids for multifamily and commercial new-construction projects.
Applicants must be able to independently read mechanical construction plans and complete accurate ductwork and sheet-metal takeoffs. This is not a residential HVAC sales or service-estimating position.
Compensation within the advertised range will depend on the candidate’s directly relevant HVAC estimating experience, ability to independently estimate complete projects, technical knowledge, and demonstrated accuracy.
Primary Responsibilities
- Review mechanical, architectural, structural, plumbing, electrical, and reflected-ceiling plans as needed to determine the complete HVAC scope of work.
- Review project specifications, addenda, bid instructions, schedules, general conditions, and contract requirements.
- Complete detailed HVAC material and labor takeoffs for multifamily and commercial construction projects.
- Estimate ductwork, sheet metal, fittings, transitions, accessories, insulation, hangers, supports, dampers, fire dampers, smoke dampers, grilles, registers, diffusers, louvers, and related materials.
- Estimate HVAC equipment, refrigerant piping, condensate piping, controls, curbs, stands, accessories, and other required system components.
- Calculate labor hours, material costs, equipment costs, rentals, permits, freight, subcontractor costs, overhead, contingencies, and other project expenses.
- Obtain and compare pricing from manufacturers, suppliers, vendors, and subcontractors.
- Identify scope gaps, plan conflicts, missing information, exclusions, allowances, alternates, and potential project risks.
- Submit requests for information when plans or specifications require clarification.
- Prepare organized bid worksheets, proposals, scope letters, clarifications, exclusions, alternates, and value-engineering options.
- Maintain accurate records of active bids, submitted proposals, revisions, addenda, and bid results.
- Maintain and update material-pricing databases, labor assumptions, estimating templates, and historical project information.
- Coordinate with the Multifamily Director, company leadership, vendors, general contractors, and project personnel throughout the bidding process.
- Assist with bid reviews and final quality-control checks before submission.
- Participate in project turnover meetings after a project is awarded.
- Provide the operations and project-management teams with organized estimate documentation, assumptions, scope details, and vendor pricing.
- Assist with evaluating actual project costs against estimated costs to improve future estimating accuracy.
- Help develop and standardize estimating procedures as the Multifamily Department grows.
- Assist with reviewing or training junior estimating personnel if additional team members are added.
Required Qualifications
- At least three years of directly relevant HVAC, mechanical, sheet-metal, or construction estimating experience is preferred.
- Candidates with less experience may be considered if they can independently complete accurate HVAC takeoffs and estimates.
- Ability to independently perform ductwork and sheet-metal takeoffs from mechanical construction plans.
- Strong understanding of HVAC equipment, duct systems, sheet metal, fittings, accessories, piping, insulation, controls, and installation requirements.
- Ability to read and interpret mechanical plans, architectural plans, schedules, specifications, addenda, and other construction documents.
- Experience preparing complete material, labor, equipment, and total-project cost estimates.
- Proficiency with Bluebeam Revu or comparable digital takeoff software.
- Proficiency with Microsoft Excel or Google Sheets.
- Strong mathematical, analytical, organizational, and problem-solving skills.
- Strong attention to detail and commitment to estimating accuracy.
- Ability to manage multiple bids, changing priorities, and firm submission deadlines.
- Ability to communicate clearly with vendors, general contractors, project personnel, and company leadership.
- Ability to work independently while maintaining organized documentation and consistent communication.
- Ability to work full-time in person at our Apopka, Florida office.
Preferred Qualifications
- Experience estimating multifamily apartment, production-housing, commercial, or new-construction HVAC projects.
- Experience working for a mechanical, HVAC, ductwork, or sheet-metal contractor.
- Experience estimating complete HVAC project scopes rather than only equipment replacements or residential service work.
- Experience with HVAC estimating software such as FastDUCT, FastPIPE, QuoteSoft, Trimble AutoBid, or a comparable estimating platform.
- Familiarity with Central Florida construction practices, labor conditions, codes, and permitting requirements.
- Experience preparing formal bid proposals, scope letters, clarifications, alternates, exclusions, and value-engineering recommendations.
- Experience communicating with general contractors, developers, manufacturers, suppliers, and subcontractors.
- Experience developing estimating templates, material databases, labor factors, or standardized bidding procedures.
- Experience reviewing junior estimator takeoffs or performing final bid quality-control reviews.
A college degree is not required. Direct HVAC estimating ability, construction-plan knowledge, demonstrated accuracy, and relevant project experience are more important than a specific degree.
Compensation
The position pays $70,000–$100,000 per year, depending on experience and demonstrated ability.
Compensation will generally reflect the following level of responsibility:
- Candidates near the lower end of the range may require some support, review, or additional training.
- Candidates in the middle of the range should be able to independently prepare complete and accurate HVAC estimates.
- Candidates near the upper end of the range should have substantial multifamily or commercial HVAC estimating experience, independently manage complex bids, perform final quality-control reviews, and help improve the company’s estimating systems and procedures.

Estimating Assessment
Qualified candidates may be asked to complete a brief estimating assessment using sample construction plans.
The assessment is intended to confirm the candidate’s ability to:
- Read mechanical plans
- Identify the complete HVAC scope
- Perform ductwork and sheet-metal takeoffs
- Organize material quantities
- Apply reasonable labor assumptions
- Identify exclusions, discrepancies, and missing information
- Prepare an accurate and organized estimate
