Job Title: Office Assistant Manager

Department: Accounting

Pay rate: $21/hr. to start, based on experience

Destination Kia, located in Yorkville, and the #1 volume Kia dealer throughout the region, is seeking motivated sales consultants to join our team!

SUMMARY

The Assistant Office Manager supports the daily operations of the Accounting Department and ensures the office functions efficiently and in alignment with dealership standards. The role is responsible for coordinating administrative workflow, maintaining accurate vehicle and billing records, and supporting cash‑handling and deposit procedures. This position requires broad operational knowledge and the ability to provide dependable coverage across office functions to maintain smooth and consistent departmental operations.

ESSENTIAL DUTIES INCLUDE BUT NOT LIMITED TO:

Analyzes and organizes office operations and procedures.
Maintains an effective cash management system. Forecasts cash needs.
Controls petty cash amounts for dealership and sales department.
Provides a timely daily operating control (DOC) and keeps the dealer/general manager informed about trends.
Reconciles all general ledger accounts monthly.
Approves adjustments to inventory and receivable accounts.
Ensure stocking in vehicles
Maintain motor vehicle records,
Ensures that all manufacturer accounts including warranty claims, rebates, interest, protection, and co-op advertising accounts are current and accurate.
Prints monthly journals, schedules, and general ledger. Closes month by processing accounting month-end.
Ensures compliance with all government regulations.
Stays abreast of current factory incentives and codes deliveries on dealership computer system accordingly.
Maintains dealer plate list for that location.
Prepares sales commission/chargeback detail reports.
Manages the payoff of vehicle floor plan and works with bank representatives.
Approves new charge accounts and oversees collection of past due accounts.

Qualifications:

Associate's or Bachelor's degree in Accounting preferred
One to three years of accounting experience
One to three years experience in a dealership environment
Knowledge of dealership documents
Excellent communication and mathematical skills
Good computer skills, will be trained on company specific programs
Knowledge relevant to billing deals and getting vehicles registered, printing A/R statements and mailing out.
Proficiency in computer skills including Microsoft Office (Word, Excel, Outlook)
Experience with calendar management, filing systems, and general office procedures.
Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively in a fast-paced environment.
