Keep Brevard Beautiful, Inc. is a well-established non-profit organization that for 45 years has engaged volunteers, businesses and government entities in our mission to promote litter reduction, recycling, beautification and environmental stewardship. We are seeking a highly organized and professional Office Administrator like you to join our team at our Cocoa, FL headquarters.

The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and supporting various administrative functions. This role requires strong computer literacy, excellent communication skills, attention to detail, ability to multitask efficiently in a fast-paced environment, and flexibility to respond to shifting priorities. The successful candidate will have experience with office management systems such as QuickBooks, Google Business Suite, and Microsoft Office Suite. Experience working for a non-profit organization, a proven track record of adapting and modernizing office systems and work procedures, and expertise in Donor Perfect or similar CRM systems are a plus. This position reports directly to the Executive Director and interfaces with other program staff, field staff, clients, vendors and other external stakeholders.

Responsibilities

Proactively manage administrative support for general office activities, HR, accounting/bookkeeping, board management, stakeholder relations and property/vehicle maintenance.
Manage front desk duties including greeting visitors, answering multi-line phone systems, and providing excellent customer service.
Handle data entry, data tracking, filing, and proofreading to ensure accuracy of documents and records.
Utilize QuickBooks for bookkeeping tasks and financial record keeping ensuring accounts are maintained satisfactorily.
Handle monthly invoicing and related documentation for government contracts and various grants.
Support volunteer event planning and execution, including making advance arrangements, organizing supplies and assisting with post-event activities.
Coordinate calendar management and scheduling for staff, events and appointments using Google Workspace and other tools.
Support office management tasks such as inventorying supplies, managing office equipment, and maintaining organizational systems. Donor Perfect or CRM experience is a plus.
Assist with stakeholder support inquiries via phone or email, demonstrating professional phone etiquette and customer service skills.
Perform clerical duties including typing, document preparation, and general administrative support.
Maintain confidentiality of sensitive information and ensure compliance with company policies.
Support additional administrative projects as needed to enhance office efficiency.

Experience

Previous office or administrative experience is required, non-profit experience is a plus.
Familiarity with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
Experience with QuickBooks or bookkeeping.
Strong organizational skills with the ability to multitask effectively in a busy environment.
Excellent communication skills, both verbal and written; bilingual abilities are advantageous.
Proven ability to manage time efficiently and prioritize tasks effectively.
Knowledge of front desk procedures, phone etiquette, and customer service best practices.
