Full Job Description

Job Summary

We are seeking a proactive and detail-oriented Accounting Assistant to join our dynamic team. In this role, you will support the finance department by managing essential accounting tasks, maintaining accurate financial records, and ensuring smooth office operations. Your enthusiasm and organizational skills will help keep our financial processes efficient and compliant. This paid position offers an excellent opportunity to develop your accounting expertise within a collaborative environment, utilizing your strong computer skills and office management experience to contribute to our company’s success.

Responsibilities

Assist with data entry and bookkeeping tasks using QuickBooks Online.
Manage accounts payable and receivable, including processing invoices, payments, and expense reports.
Support month-end and year-end closing procedures by preparing necessary documentation and reconciliations.
Maintain organized filing systems for financial documents, contracts, and client records, both digitally and physically.
Handle front desk duties such as answering multi-line phone systems, greeting visitors, and directing calls with professional phone etiquette.
Coordinate calendar management for finance team meetings, appointments, and deadlines using Google Workspace or Microsoft Office tools.
Provide excellent customer service by assisting clients with billing inquiries and supporting internal teams with administrative needs.

Requirements

Proven office management or administrative experience, preferably in a medical or dental setting.
Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and Google Workspace applications.
Experience with QuickBooks or similar bookkeeping software is highly desirable.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Bilingual abilities are a plus to support diverse client interactions.
Demonstrated data entry accuracy, proofreading skills, and attention to detail.
Exceptional communication skills via phone and in person, including phone etiquette and client communication.
Prior experience working with spreadsheets, filing systems, calendar management, and office support functions.
Ability to handle clerical tasks such as typing, proofreading, document preparation, and maintaining confidentiality.
