This role is the last line of defense ensuring that every Texas file is legally clean, properly recorded, and correctly insured before it is closed out. The ideal candidate combines meticulous attention to detail with the organizational discipline to manage a high-volume pipeline of files, each on its own recording and policy-issuance timeline. We are open to both experienced post-closers and motivated beginners who are detail-oriented and eager to build expertise in Texas title recording and policy issuance; training will be provided.

Key Responsibilities
Recording
· Review closing packages for completeness and legal sufficiency prior to recording, including deeds, deeds of trust, releases of lien, affidavits, and powers of attorney, confirming proper execution, notarization, and acknowledgment.
· Prepare and submit real property instruments (warranty deeds, deeds of trust, releases, assignments, correction instruments, and similar documents) for recording with the correct Texas county clerk's office.
· Use e-recording platforms (e.g., Simplifile) for counties that support electronic recording, and manage manual/mail recording submissions for counties that do not.
· Track recording status across all open Texas files and counties, promptly identifying, correcting, and resubmitting any documents rejected by a county clerk.
· Verify recorded documents post-recording (instrument number, recording date, volume/page or clerk's file number) and update the title production system accordingly.
Policy Issuance
· Prepare and issue final Owner's and Loan title insurance policies once recording is confirmed, in accordance with underwriter guidelines.
· Cross-check the title commitment against the final closing documents to confirm all Schedule B-II exceptions, requirements, and endorsements are accurately reflected in the issued policy.
· Confirm loan amounts, vesting, legal descriptions, and effective dates on the final policy match the recorded instruments and closing statement.
Curative & File Resolution
· Identify and resolve post-closing curative issues, including missing signatures or notarizations, incorrect or incomplete legal descriptions, unreleased prior liens, judgment or tax liens, and HOA/municipal utility district (MUD) requirements common to Texas transactions.
· Verify payoff of existing liens and obtain or confirm recorded releases/satisfactions, following up directly with lenders and lienholders on outstanding release documentation.
· Coordinate with closing/escrow officers, lenders, real estate agents, and underwriting counsel to resolve outstanding post-closing items and clear files to completion.
File & Pipeline Management
· Maintain a high-volume pipeline of active post-closing files simultaneously, each with its own recording and policy-issuance deadline, and prioritize work to avoid missed deadlines.
· Maintain accurate, audit-ready digital file records in compliance with company retention policy and Texas Department of Insurance (TDI) recordkeeping requirements.
· Track and report aged or at-risk files to management, escalating anything likely to miss a recording or policy-issuance deadline.
· Support internal, underwriter, or regulatory audits by producing accurate documentation and complete file histories on request.
· Stay current on Texas-specific recording requirements, statutory forms, and TDI Basic Manual requirements as they affect post-closing and policy issuance.
Qualifications
Entry-Level Track
· High school diploma or equivalent required; associate's or bachelor's degree a plus.
· 0–1 year of experience in title insurance, real estate, escrow, mortgage, or a related administrative/legal support role.
· No prior post-closing experience required — strong attention to detail and a willingness to learn Texas recording procedures and policy issuance are the priority. Formal training will be provided.
Experienced Track
· 2+ years of direct experience in title post-closing, recording, or policy issuance, preferably on Texas transactions.
· Working knowledge of Texas title insurance practices, the TDI Basic Manual, and county-specific recording requirements and variances.
· Demonstrated ability to independently identify and resolve curative issues with minimal supervision.
· Experience working directly with underwriters, lenders, and county clerk offices to move files to completion.
Required Skills & Abilities
Attention to Detail & Accuracy
· Ability to proofread legal documents — deeds, deeds of trust, affidavits, releases — and identify discrepancies in names, legal descriptions, loan amounts, dates, and notary acknowledgments with a high degree of accuracy.
· Ability to cross-reference multiple source documents (title commitment, closing disclosure, recorded instruments, policy jacket) to confirm consistency across an entire file before policy issuance.
· Capacity to perform repetitive, detail-intensive review and data-entry tasks for extended periods without a decline in accuracy.
· Ability to catch and correct errors proactively, before they result in a rejected recording, an inaccurate policy, or a compliance issue.
· Comfort working from checklists and standardized procedures while still catching exceptions that fall outside the standard pattern.
Technical & Software Proficiency
· Proficiency in, or demonstrated aptitude for quickly learning, title production software
· Experience with, or ability to quickly learn, e-recording platforms such as Simplifile or CSC ePN.
· Intermediate proficiency in Microsoft Excel (for pipeline tracking and reporting)
· Comfort navigating multiple Texas county clerk online record-search portals, each with different search interfaces and data formats.
· Working knowledge of electronic document management and imaging/scanning systems.
Industry & Regulatory Knowledge
· Understanding of the end-to-end real estate closing process and where post-closing fits within the overall title production workflow.
· Familiarity with Texas recording requirements, statutory forms , and the practical differences in recording procedure across Texas counties (e.g., Harris, Dallas, Travis, Bexar, Tarrant).
· Knowledge of title insurance policy types (Owner's, Loan, and common endorsements) and how Schedule B exceptions and requirements translate into final policy language.
· Awareness of Texas Department of Insurance (TDI) rules governing title insurance underwriting, rate, and policy issuance — or demonstrated ability to learn this quickly.
· Understanding of lien priority and the documentation required to properly release or satisfy a lien of record.
Organizational & Time Management
· Ability to independently manage a high-volume caseload of files simultaneously, each with a distinct recording and policy-issuance deadline.
· Strong prioritization skills, with the ability to correctly identify and escalate the files most at risk of missing a deadline.
· Ability to consistently meet daily and weekly production and turnaround-time targets in a deadline-driven environment.
· Effective self-management with minimal need for direct oversight once trained on file-handling procedures.
Communication & Collaboration
· Clear, professional written and verbal communication with internal closing teams, lenders, underwriters, and occasionally clients or real estate agents.
· Ability to explain a curative requirement or recording delay in plain, non-technical language to someone outside the title industry.
· Comfort following up persistently, but professionally, with third parties — lienholders, lenders, county recording offices — to obtain outstanding documentation.
· Ability to work collaboratively within a team while owning individual file outcomes.

· Ability to diagnose the underlying cause of a rejected recording or a curative issue and determine the correct corrective action.
· Sound judgment in knowing when to resolve an issue independently versus escalating to a supervisor or underwriting counsel.
· Adaptability when county requirements, underwriter guidelines, or internal procedures change, without losing accuracy or pace.
Data Entry & Documentation
· High accuracy and reasonable speed in data entry into title production systems.
· Disciplined file documentation habits sufficient to withstand internal, underwriter, or regulatory audit review at any time.
Work Environment & Physical Requirements
· Primarily office-based role centered on computer work; standard business hours with occasional overtime during high-volume periods.
· Ability to sit at a workstation and work on a computer for extended periods.
· Occasional need to lift or handle physical file boxes or documents.
Education
· High school diploma or equivalent required. Associate's or bachelor's degree preferred but not required, particularly for candidates with relevant industry experience.
