Administrative Assistant – Executive & Business Operations

Part-Time | 20–30 Hours per Week

Position Overview

We are seeking a highly organized, proactive, and adaptable Administrative Assistant to provide direct support to the Chief Operating Officer (COO) and Comptroller while assisting with the day-to-day business operations of a multi-property organization.

This position is well suited for someone who is comfortable managing multiple priorities, communicating with department managers and vendors, analyzing business information, and following operational items through to completion. The ideal candidate is resourceful, detail-oriented, confident communicating with different levels of management, and able to adjust priorities with little notice as business needs change.

The Administrative Assistant will serve as an important communication and organizational link between the corporate office and management teams across multiple properties.

Key Responsibilities Executive & Operational Support

Provide daily administrative support to the COO and Comptroller.
Assist the COO with email correspondence, follow-up items, scheduling, and tracking ongoing business initiatives.
Maintain organized tracking systems for projects, operational issues, deadlines, and outstanding action items across multiple properties.
Follow up with property managers and department heads to ensure requested information and assignments are completed.
Maintain open and professional communication with management teams throughout the organization.
Assist with coordinating operational priorities and communicating updates between corporate leadership and individual properties.
Prepare summaries, spreadsheets, reports, and other materials used by the COO and Comptroller to evaluate business performance.
Help identify outstanding issues requiring follow-up and proactively work toward resolution.

Accounting & Vendor Support

Assist with the reconciliation and review of accounts payable.
Review invoices, statements, and supporting documentation for accuracy and completeness.
Make follow-up calls and emails to vendors regarding invoices, account balances, discrepancies, credits, and payment questions.
Assist in maintaining organized vendor records and account documentation.
Prepare and distribute daily, weekly, and periodic business reports.
Assist the Comptroller with gathering financial and operational information from individual properties.

Reporting & Business Analysis

Compile operational and financial information from multiple locations.
Generate spreadsheets and reports used to monitor property performance.
Review information for inconsistencies, missing data, unusual activity, or items requiring additional follow-up.
Maintain reporting schedules and ensure required information is received from property management teams in a timely manner.
Help leadership organize information into clear, actionable reports.

Marketing & Technology Support

Assist with basic marketing and communication initiatives as needed.
Create and edit promotional materials using Canva.
Assist with posting and scheduling content on company and property social media platforms.
Work within various business, accounting, POS, golf management, and CRM platforms.

Experience with or working knowledge of systems such as the following is preferred:

QuickBooks
Clover
GolfNow
Lightspeed
CRM platforms
Microsoft Excel / Google Sheets
Canva
Social media management platforms

Direct experience with every system is not required, but the successful candidate must be comfortable learning new software and technology quickly.

Qualifications

The ideal candidate will have:

Previous administrative, accounting support, executive assistant, office management, or business operations experience.
Excellent written and verbal communication skills.
Strong organizational skills and exceptional attention to detail.
Strong analytical skills with the ability to compile, review, and interpret business information.
Experience creating reports and working with spreadsheets.
Ability to communicate professionally with executives, managers, employees, vendors, and outside business partners.
Ability to independently follow assignments through to completion.
Strong time-management skills and the ability to manage several priorities simultaneously.
Ability to adapt quickly when priorities or business needs change.
Sound judgment and the ability to handle confidential company information appropriately.
Strong computer skills and a willingness to learn new software platforms.

Schedule

This is anticipated to be a part-time position averaging approximately 20–30 hours per week.

The majority of hours will be during normal weekday business hours; however, limited weekend availability may occasionally be required based on operational needs.

Because the position supports multiple properties and senior leadership, some flexibility in scheduling is important.

The Right Candidate

We are looking for more than someone who simply completes administrative tasks. The successful candidate will be someone who takes ownership of assignments, notices when something requires follow-up, communicates effectively, and helps keep multiple areas of the business organized and moving forward.

This role requires an individual who is comfortable working in a fast-moving, multi-property environment where priorities can change quickly. Someone who is proactive, dependable, analytical, technologically capable, and comfortable working directly with senior management will be best positioned for success.

Pay: $22.00 - $25.00 per hour
