Production Administrative Coordinator

Your work will help keep an active pipe fabrication shop accurate, organized, and moving forward every day.

We are seeking a dependable and detail-oriented Production Administrative Coordinator to support the administrative and operational needs of a high-volume fabrication environment. This position is ideal for someone who enjoys managing important details, maintaining accurate records, solving documentation issues, and supporting both office and field-based employees.

You will work closely with production supervisors, quality-control personnel, payroll teams, welders, and other shop employees to ensure information is documented correctly and communicated on time.

What You Will Do

Review daily production sign-in sheets and identify timekeeping discrepancies
Submit daily payroll information through Smartsheet
Maintain employee time, attendance, time-off, adjustment, and retro-pay records
Communicate with employees and supervisors to resolve payroll discrepancies
Collect, verify, and enter weld records submitted by more than 40 welders
Maintain daily quality-control and ISO documentation in weld logs
Support QC personnel with documentation, records, copies, and reporting
Record daily fabrication prints in the spool tracker
Maintain accurate production, welding, fabrication, and quality records
Organize fabrication prints and track active and completed work
Manage shipping and receiving documentation
Track incoming and outgoing materials, deliveries, and material movement
Order office and production supplies and help prevent shortages
Assist with logistics coordination for materials, supplies, and deliveries
Maintain organized electronic and physical files
Prepare operational reports and support additional shop-administration needs

What We Are Seeking

Previous administrative, payroll, production, or operations-support experience
Experience in a fabrication shop, manufacturing, construction, industrial, or skilled-trades environment is preferred
Strong attention to detail and commitment to data accuracy
Excellent organizational, documentation, and recordkeeping skills
Ability to manage a high volume of information and competing deadlines
Experience with employee timekeeping or payroll administration is preferred
Experience maintaining production, quality, welding, or manufacturing records is a plus
Proficiency with Microsoft Excel, Word, Outlook, and general computer applications
Experience with Smartsheet is preferred
Ability to learn production-tracking systems and shop processes
Strong written and verbal communication skills
Ability to work effectively with supervisors, QC personnel, welders, craft employees, and office teams
Dependable attendance and the ability to complete time-sensitive daily responsibilities
