Full Job Description

Job Summary

The Assistant Program Supervisor supports the Program Supervisor in the daily operation and management of assigned after-school and enrichment programs. This position assists with staff supervision, site monitoring, compliance reviews, training, data collection, and program implementation. The Assistant Program Supervisor serves as a resource to Program Coordinators, Site Coordinators, Site Leads, and Group Leaders and helps ensure consistent program quality, safety, and compliance across assigned sites.

Essential Job Duties

Assist the Program Supervisor in overseeing daily operations at assigned school sites.
Conduct site visits and monitor program quality, safety, attendance, and compliance.
Support Program Coordinators and Site Coordinators in resolving operational issues.
Assist with staff onboarding, orientation, and training.
Monitor completion of required employee certifications and training.
Assist with maintaining attendance records, incident reports, and grant compliance documentation.
Support participant registration, enrollment, and database management.
Assist with planning and coordinating special events, field trips, intersessions, and enrichment activities.
Help ensure compliance with DFEO policies, grant requirements, and school district expectations.
Participate in parent meetings, staff meetings, and school site meetings as assigned.
Assist with inventory tracking and distribution of program supplies and equipment.
Monitor staff timekeeping and report discrepancies to the Program Supervisor.
Provide coaching and guidance to frontline staff.
Respond to parent, staff, and school inquiries professionally and timely.
Prepare reports and collect data as requested.
Serve as acting Program Supervisor when designated.
Perform other duties as assigned by the Program Supervisor, Program Supervisor II, and Executive Management.

Supervisory Responsibilities

May provide direct oversight to:

Program Coordinators, Site Coordinators, Site Leads, and Group Leaders

Ability to:

· Ability to work with diverse people, including school administration, TK – 8th graders, and their parents, conveying a sense of welcome and helpfulness

· Ability to effectively supervise the office functions and cooperatively work with other staff in a team environment

· Excellent verbal, written, and presentation skills; written communications should be accurate in spelling, grammar, and punctuation

· Ability to work in an occasionally stressful environment, to handle multiple tasks simultaneously, and to meet established deadlines

· Ability to prioritize work tasks and efficiently allocate and manage time

Minimum Qualifications

Bachelor's Degree required.
Minimum 5 years of experience in after-school, educational, youth development, or related programs.
Minimum 2 years of supervisory experience.
Strong organizational and leadership skills.
Experience working with TK–8 students and school personnel.
Proficiency in Microsoft Office and database systems.
Valid California Driver's License and reliable transportation.

· Work is generally performed in an office environment, but may be indoors/outdoors in a classroom and playground environment.

· Work is subject to constant interruptions.

· Staff will have exposure to cold and hot weather as a result of outdoor activities.

· Staff may have possible exposure to risk of injury and/or illness.

· must be able to safely exert up to 50 lbs. of force frequently to lift, carry, push, pull, or move objects

· must have specific vision abilities required by this job include close vision, color vision and ability to adjust focus to monitor students during activities

Clearances:

Offers of employment are contingent upon successful clearance of the following:

- fingerprinting and background check (DOJ & FBI)

- TB test and physical exam

The following certifications must be obtained from a recognized agency prior to employment and must be maintained throughout employment in the position:

- CPR (Infant, Child, and Adult) Certificate

- First Aid Certificate

- Mandated Reporter Certificate

Must have a valid California Class C Driver's License and an automobile with adequate insurance coverage, or a reliable alternative method of transportation needed to carry out job-related essential functions.
