Full Job Description

Position Overview

The Administrative Assistant plays a key role in ensuring the smooth daily operations of the school’s main office. Serving as a primary point of contact for parents/guardians, students, faculty, staff, and visitors, this role provides high-level administrative, clerical, and operational support to school leadership (Head of School, Director of Finance, Education Administrator, and Director of Director of Extracurricular Activities and Martenelle Administrator). The Administrative Assistant also provides administrative support for the School Nurse, School Counselor and other staff and faculty as needed, while maintaining a safe, organized, and welcoming environment.

Key Responsibilities

1. Front Office & Public Relations

Serve as the main front-desk customer service contact, warmly and courteously greeting parents/guardians, students, faculty/staff and screening visitors and vendors for approved admittance.
Answer, screen, and route incoming phone calls; answer general inquiries regarding school policies, schedules, and events.
Manage sign-in/sign-out procedures for students and visitors to ensure building safety and security protocols are fully maintained.

2. Student Records & Attendance

Input and maintain accurate student attendance data (tardies, absences, early dismissals) in the school’s Educate database system.
Assist with student registration, enrollment, and transfer procedures, process official transcript requests, and student records transfers.
Issues late passes and monitor drop-off/pick-up processes.

3. Administrative & Executive Support

Provide clerical support to school faculty/staff (assist with report card processing, creating and formatting reports, and preparing presentation materials and school signage, and other tasks as needed).
Manages daily dismissal and bus list.
Maintains students’ files, records, emergency information and other school records, including the annual rollover of student data, and updates school Educate and Magnus Health databases, as necessary.
Processes cash receipts received in the office to the TADS system or QuickBooks as needed.
Updates information in QuickBooks, including Accounts Payable invoices and Cash Disbursements.
Reconciles credit card account activity and petty cash on a monthly basis.
Monitors, purchases, and dispenses school and office supplies.
Maintains confidential information such as BCI checks, vendor files, and payment information.
Participates in the FASRI Health and Safety and Administration Committee.
Assures all policies and procedures are properly categorized and organized into one document and stored in the shared drive. This includes the subset documents for the Parent Handbook, the Employee Handbook, and the Health and Safety Risk Management Plan
Ensures maintenance and neatness of all office equipment and stored supplies.
Other duties as required.

4. School Operations & Event Logistics

Assist in organizing and executing school events such as open houses, field trips, picture days, graduations, and assembly programs.
Order, receive, inspect, and maintain inventory for office and instructional supplies.
Maintain office equipment (copiers, printers, phone systems) and coordinate maintenance or repair services when necessary.
Process purchase orders, organize receipts and track payments as directed.
Monitors main door and security cameras and oversees entry into the school building.
Processes incoming and out-going mail and packages, including purchase of mail supplies.
Ensures maintenance and neatness of the reception area and front office, and that any signage is updated as needed.

Qualifications & Requirements

Education: High school diploma or GED equivalent required; an Associate degree or administrative training certification is preferred.
Experience: 1–3 years of administrative or secretarial experience (experience within an educational or K–12 setting is highly desirable).

Required Skills & Competencies:

Technical Skills: Proficiency in office productivity software (Google Workspace, Microsoft Office, and QuickBooks) and experience with Student Information Systems (e.g., Ravenna, TADS, Educate, Magnus Health).
Communication: Excellent verbal and written communication skills with strong telephone etiquette and proofreading capabilities.
Organization & Multitasking: Ability to prioritize multiple competing tasks in a fast-paced environment with frequent interruptions.
Confidentiality: Strict adherence to student privacy regulations (such as FERPA) and high discretion regarding personal records and personnel matters.
Interpersonal Skills: Listening Skills, patience, empathy, and professional composure when interacting with parents/guardians, students and faculty/staff colleagues at all times, particularly, during stressful or emergency situations.

Pay: $20.00 - $24.00 per hour
