Full Job Description

The Customer Support and Business Operations Coordinator is the primary point of contact for customer inquiries and owns the order-to-cash process from quotation through invoicing at the company’s Wire Rope office in Houston, Texas. This role coordinates with Sales, Warehouse Operations, Logistics, Purchasing, Finance, and Human Resources through a shared-service team to ensure accurate order processing, reliable delivery, and a responsive customer experience, as well as administrative support for the Houston office.

Key Responsibilities

Customer Service & Sales Support

Serve as the first point of contact for customer inquiries regarding products, pricing, lead times, deliveries, and documentation.
Build and maintain positive relationships with customers through timely, accurate, and proactive communication.
Support the National Sales Manager in preparing quotations and commercial offers and follow up on outstanding quotations and customer requests.
Coordinate customer onboarding, account setup processes, and maintenance of customer contact information.

Order Management (Offer-to-Dispatch), Logistics, and SAP

Manage the order-to-cash process in SAP, including quotations, sales orders, delivery documents, shipping documentation, and customer invoices. Monitor and track open orders, backorders, customer delivery requirements, and order changes to ensure accurate, on-time fulfillment. Coordinate deliveries with warehouse, assembly, purchasing, and transportation partners; prepare required shipping, export, and customer-specific documentation. Maintain accurate customer, pricing, sales, and transaction data in SAP and resolve order or data discrepancies.
Identify and escalate risks affecting order accuracy, product availability, delivery commitments, or customer satisfaction.

Cross-Functional Office Coordination:

Communicate customer priorities and delivery requirements to Sales, Warehouse Operations, Logistics, Purchasing, Finance, and shared-service teams.
Coordinate with Finance regarding customer invoices, account holds, credits, payment questions, and accounts payable documentation.
Participate in order-status meetings and maintain ownership of customer communication through resolution.
Provide administrative support for employee onboarding paperwork, payroll information collection, meeting coordination, visitors, records, and other routine office needs.
Provide routine human resources, payroll, accounting, and policy questions to the appropriate manager or shared-service team.

Continuous Improvement

Identify opportunities to improve administrative and order-processing efficiency.
Support SAP process improvements and standardization initiatives.
Contribute to the development of scalable processes suitable for a growing organization.

Physical Requirements

Prolonged periods of sitting at a desk and working on a computer. Frequent keyboarding and use of standard office equipment. Must be able to lift up to 15 pounds occasionally. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions of the position.

Qualifications

Associate's degree in Business Administration, Supply Chain, Customer Service, or a related field preferred; relevant experience will be considered;
3 or more years of experience in B2B customer service, sales support, order management, logistics coordination, or related role;
Experience in industrial manufacturing, distribution, wire rope, or a related environment preferred;
Hands-on experience with an ERP system required; SAP experience strongly preferred.

Knowledge, Skill, and Abilities

Strong customer service orientation with professional written and verbal communication skills.
Excellent organizational, follow-through, attention to detail, and ability to manage competing priorities.
Ability to work independently, take ownership of issues, and collaborate effectively across functions. Sound judgment, problem-solving ability, adaptability, and a continuous-improvement mindset.
Proficiency with Microsoft Office applications and working knowledge of ERP-based order processing.
