Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Maintain organized filing systems, data entry records, and ensure accurate document proofreading and word processing using Microsoft Office and Google Workspace
Oversee calendar management and schedule appointments for team members or executives, ensuring efficient time management
Handle bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar software
Provide exceptional customer service by assisting clients via phone or in person, addressing inquiries promptly and professionally
Support office management duties including supply inventory, filing systems, and maintaining a clean, welcoming environment
Assist with specialized roles such as medical or dental receptionist duties when needed, including patient scheduling and record keeping

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, spreadsheets, and communication
Strong computer literacy with experience in data entry, typing accuracy, proofreading, and technical proficiency in office productivity software
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Exceptional communication skills for client interaction via phone or email; bilingual abilities are a plus for diverse workplaces
Experience with multi-line phone systems, front desk operations, and customer support roles
Knowledge of bookkeeping practices using QuickBooks or similar accounting software; familiarity with filing systems is advantageous
Demonstrated clerical experience including calendar management, document processing, and office administration tasks
