Full Job Description

The Receptionist & Communications Coordinator serves as the first point of contact for members, guests, and visitors, creating a welcoming and professional first impression while supporting the Club's commitment to exceptional hospitality and member service. This position oversees front desk operations, manages dining and event reservations, coordinates member communications, and provides administrative support to multiple departments. The role requires exceptional customer service, organization, attention to detail, and the ability to manage multiple priorities in a fast-paced private club environment.

The essential functions of this role include, but are not limited to, the following:

Member Services & Reception

Welcome members, guests, prospective members, and visitors in a courteous, professional, and hospitable manner.

Serve as the primary point of contact for incoming telephone calls, directing inquiries and providing accurate information regarding Club services, programs, events, and policies.

Take ownership of daily dining, event, and activity reservations, ensuring accuracy, timely updates, confirmations, and clear communication with members and operational departments.

Maintain reservation systems and coordinate changes, cancellations, waitlists, and special member requests.

Resolve routine member questions and concerns or direct them to the appropriate department for follow-up.

Maintain a clean, organized, and professional reception area that reflects the Club's standards.

Communications & Member Engagement

Support the Director of Membership & Communications in:

o Preparation, design, and distribution of member communications, including newsletters, email campaigns, flyers, event invitations, calendars, digital signage, and Club announcements.

o Updating Club website content, event calendars, and member-facing information to ensure timely and accurate communication.

o Creation and scheduling of social media content that promotes Club events, programs, and member engagement.

o Coordination of article submissions, editing, and proofreading for Club publications while maintaining brand consistency.

Administrative Support

Maintain accurate member contact information and communication databases.

Process incoming and outgoing mail, packages, and deliveries.

Assist with filing, document management, data entry, and record retention.

Coordinate administrative support for Club departments, including scheduling meetings, preparing correspondence, and assisting with special projects.

Prepare reports, correspondence, and presentation materials as assigned.

Event & Club Operations Support

Support event planning by preparing reservation reports, signage, registration materials, seating lists, name tags, and other member-facing materials.

Coordinate event attendance confirmations and communicate updates with members and appropriate departments.

Collaborate with the Food & Beverage, Golf, Membership, and Administrative teams to ensure accurate communication and exceptional member experiences.

Perform other duties as assigned to support Club Operations
