Full Job Description

Position Summary

The Accounting Clerk supports daily accounting operations with primary responsibility for accounts receivable, collections support, vendor and supplier administration, invoice reconciliation, and cash receipts. The role requires consistent accuracy, timely follow-up, and the ability to manage recurring accounting tasks across multiple deadlines.

Essential Responsibilities

Accounts Receivable and Collections

· Prepare and provide statements of account to customers, carriers, and other business partners as appropriate.

· Respond to accounts receivable, credit, and factoring inquiries regarding payment status and account activity.

· Follow up on aging and factoring-related balances and make outbound collection calls when needed.

· Research remittance discrepancies, including unapplied cash, deductions, chargebacks, short pays, denied payments, and past-due balances.

Cash Receipts and Reconciliation

· Download and review cash receipt information used to update customer accounts receivable balances.

· Post received payments and maintain supporting documentation in accordance with established procedures.

· Reconcile and post unapplied cash and research differences to support accurate account balances.

Vendor, Supplier, and Invoice Support

· Complete new vendor credit applications within the expected 24-48 hour turnaround, adapting company information to vendor-specific forms as required.

· Set up new suppliers in the system and maintain accurate supplier information.

· Reconcile supplier invoices against billed orders to verify billing rates and costs, including chassis-related invoices when applicable.

· Identify discrepancies and coordinate follow-up to support timely resolution.

Required Qualifications

Education

· High school diploma or equivalent required.

· Associate or bachelor's degree in Accounting, Business Administration, or a related field preferred, but not required.

Experience

· 1-2 years of experience working in an accounting environment required.

· Experience with accounts receivable, cash application, collections, invoice reconciliation, or similar accounting support functions preferred.

· Experience in logistics, transportation, or factoring is a plus, but not required.

Technical Skills

· Intermediate Excel proficiency required; comfort working with multi-tab spreadsheets and large data sets is strongly preferred.

· Proficiency with Microsoft Outlook and Word; general Microsoft Office literacy required.

· 10-key proficiency and strong data-entry accuracy required.

· Experience with McLeod TMS is a plus; willingness and ability to learn McLeod is required.

· General computer literacy and the ability to learn new software systems quickly.

Core Competencies

· Strong written and verbal communication skills for customer and vendor correspondence.

· High attention to detail and accuracy in reconciliation-heavy work.

· Ability to manage recurring daily and weekly responsibilities with different deadlines and 24-48 hour turnaround expectations.

· Comfort making professional outbound collection calls and following up persistently when information or payment is outstanding.

· Strong reading comprehension for invoices, remittance information, and third-party forms.

· Basic understanding of accounts receivable concepts and the ability to apply accounting procedures consistently.

· Organized, dependable, and able to work independently once trained.

· Ability to manage multiple tasks and meet deadlines without sacrificing accuracy.

Language Requirements

English proficiency in reading, writing, and verbal communication is required to support customer and vendor communication and accurately interpret invoice and payment documentation.

Role Expectations

This position includes recurring, detail-oriented accounting work such as reconciliations, payment posting, invoice review, customer follow-up, and email correspondence. Success in the role requires sustained focus, consistency, accuracy, and timely completion of assigned work.

Pay: $38,000.00 - $42,000.00 per year
